Job Description:

We are seeking a highly organized and detail-oriented Facilities Management Specialist to join our team at Independent Food Company. The successful candidate will be responsible for coordinating and scheduling maintenance activities, managing vendors and contractors, and preparing documentation and reports.

Key Responsibilities:
  • Coordination and Scheduling: Collaborate with the Facility and Fit-Out Manager to schedule tasks and set deadlines. Organize and delegate maintenance activities within the team based on priorities and skills. Act as the primary liaison between the maintenance team, procurement, finance, and other departments.
  • Vendor and Contractor Management: Communicate and coordinate with contractors, vendors, and service providers to ensure smooth execution of tasks. Identify and onboard vendors or service providers for maintenance and fit-out tasks as needed.
  • Documentation and Reporting: Prepare necessary documentation for maintenance activities, including purchase orders, invoices, and contracts. Compile and present reports on maintenance progress, costs, and any issues to the Facility and Fit-Out Manager.
  • Technical Support: Understand and interpret engineering drawings to support maintenance and fit-out activities. Provide technical insights related to MEP (Mechanical, Electrical, and Plumbing) and fit-outs to assist the team in troubleshooting and problem-solving.
Key Qualifications:
  • Education: An engineering background with the ability to read and understand technical drawings is essential.
  • Experience: 1-2 years of experience in a similar role as a Maintenance Coordinator is preferred.
  • Skills: General knowledge of MEP systems and fit-out processes is required. Proficiency in English is necessary, while proficiency in Arabic is desirable. Strong organizational skills and the ability to multitask effectively are also essential.
  • Personal Attributes: A detail-oriented and proactive individual with a problem-solving mindset who can work under pressure and maintain strong interpersonal skills is ideal for this role.
