As a Senior Operations & Administration Executive, you will play a vital role in ensuring the smooth execution of operational and administrative processes of all locations of IIPD Global. This is a senior role suited for a highly motivated and detail-oriented professional with a passion for facilitating exceptional training experiences. In this role, you will oversee end-to-end administration processes for our training programs, providing seamless support to both students and trainers, and collaborating with external partners. Proficiency in Arabic is essential, as is experience in the training or education industry.

**Key Responsibilities**

**Operational Administration**
- Manage the full operational cycle from student enrollment to examination and certification, ensuring accuracy and efficiency in all administrative processes.
- Act as the primary point of contact for students, trainers, and corporate clients, assisting with their needs and delivering high-quality service.

- **Reporting & Documentation**:

- Prepare and deliver detailed reports, such as Training End Reports and Evaluation Reports, to corporate clients in a timely manner.
- Maintain comprehensive records of admissions, certifications, and program evaluations, ensuring accuracy in documentation and compliance with institute policies.

- **Trainer Coordination & Logistics**:

- Coordinate travel, visa, accommodation, and financial arrangements for external trainers, ensuring all logístical requirements are met promptly.
- Work closely with trainers to address any program-specific needs or issues, facilitating a smooth training delivery process.

- **Financial & Office Management**:

- Handle petty cash, manage office expenses, and oversee billing cycles in alignment with institute policies.
- Accurately record and manage student payments through the institute's accounting software.

- **Front Office Management**:

- Oversee front desk operations, handling visitor interactions, managing phone calls, and coordinating correspondence professionally and efficiently.
- Maintain inventory of office supplies, ensuring availability and placing orders as required.

- **Client Engagement**:

- Engage with partner organizations and corporate clients to address student-related queries and operational requirements.
- Build positive relationships with clients from diverse backgrounds across the Middle East and Africa, adapting communication style as necessary.

- **Compliance & Bookkeeping**:

- Support bookkeeping by updating financial, personnel, and other essential records, maintaining adherence to internal protocols and local regulations.

**Requirements**:

- **Experience**: Minimum of 3 years in operations or administration within the training or education industry.
- **Language Proficiency**: Fluency in both English and Arabic (spoken and written) is mandatory.
- **Education**: Bachelor’s degree or equivalent professional experience in a related field.
- **Technical Skills**: Proficiency in MS Office and experience with accounting or CRM software.
- **Personal Attributes**: Sociable, adaptive, and highly organized with excellent communication skills. An approachable, client-focused attitude is essential for successful engagement in this role.
