**The Role**:
We are seeking a dedicated and proactive Business Support Administrator to join our in-house creative and digital agency, Creative Design. The role will play a crucial part in providing essential administrative support to the Senior Director and Leadership Team (OLT), facilitating smooth business operations, and ensuring efficient execution of tasks such as international travel arrangements, meeting coordination, diary management, and other ad-hoc duties.
We are looking for some who has heaps of initiative, is keen to learn and has exceptional organisational skills. You will be brilliant with stakeholders, able to manage priorities and have strong communication abilities. This is a fantastic opportunity for someone looking to expand on their current skillset, to join a team with a sociable culture.
**Responsibilities will include**:
- _ Travel Coordination _- Arrange international and domestic travel for the Director and Leadership Team, including flights, accommodation, transportation, and necessary travel and visa documents. Ensure all travel plans align with company policies and preferences.
- _ Meeting Coordination -_ Efficiently organise meetings, both internal and external, by scheduling, sending invitations, reserving venues, and coordinating audio-visual equipment and catering if required. Prepare meeting agendas and materials as needed.
- _ Diary Management -_ Maintain the Senior Director's calendar by scheduling appointments, meetings, and events. Manage conflicting schedules, prioritise tasks, and ensure efficient time utilisation.
- _ Operational Business Support -_ Provide comprehensive administrative support to the Director and OLT, assisting with document preparation, data entry, Concur expense tracking including the management of two corporate credit cards and other operational tasks to enhance workflow efficiency.
- _ Communication Liaison -_ Serve as a point of contact for internal and external communications on behalf of the Senior Director and Leadership Team. Respond to inquiries promptly and professionally, redirecting as necessary.
- _ Ad-Hoc Support -_ Address miscellaneous tasks and projects as they arise, demonstrating flexibility and adaptability to accommodate changing priorities and business needs.
- _ Confidentiality and Discretion -_ Handle sensitive information and confidential matters with the utmost discretion and professionalism.
- _ Collaborative Approach -_ Foster positive working relationships with team members across Creative Design and the broader organisation, ensuring a collaborative work environment.
