Asset Operations Section Head

Role Purpose

To lead the operational processes of asset management including tagging, tracking, physical counting, and disposal to ensure asset integrity and operational compliance and monitoring the assets operations activities including the assets data maintenance, asset acquisition, asset verification, transfer, revaluation, and disposal and assets period end, accurately and on a timely basis within the set KPIs, agreed budgets and adopted policies and procedures

Key Activities

Asset Management

• Oversee and Coordinate scrapping and disposal committees.
• Ensure compliance with asset policies and internal controls..
• Contribute to the identification of opportunities for continuous improvement of systems and processes considering leading practices, changes in business environment, cost reduction and productivity improvement
• Keep the Manager informed of significant asset-related issues that may jeopardize the achievement of the organization's goals.
• Assist the Manager in meeting set targets and objectives as well as the financial performance of the Fixed Assets function

Reporting and documentation

• Develop reports and KPIs to monitor asset operations performance. 
• Develop periodic reports highlighting results of performed reviews / audits on SANS' owned assets
• Provide timely and accurate information to the external and internal auditors as and when required.

Operational Responsibilities

• Supervise asset tagging, physical verification, tracking, and disposal processes.
• Ensure accurate and up-to-date asset records in the ERP system.
• Lead the planning and execution of physical inventory counts. 
• Support in monitoring day-to-day activities to ensure compliance with stipulated policies and procedures.
• Liaise with the Finance function to ensure alignment of assets information.
• Comply with the organization's set policies, procedures, management and regulatory requirements.
• Maintain highest standards of professional conduct, ethics and integrity in the provision of services in the section.
• Build and maintain strong and effective relationships with all other related units to achieve the section's goals/objectives.
• Execute asset management policy and provide functional support to relevant stakeholders.
• Ensure the accuracy of Assets information, details and transactions
• Ensure high standards of confidentiality to safeguard commercially sensitive information.
• Review and recommend for approval the Assets setup/ amendments.
• Review assets details entered in Asset workbench.
• Review and endorse the mass additions report and coordinate with the Assets Officer - for required changes, if any.
• Review the list of assets to be reconciled from the Physical Inventory Comparison report and coordinate with the Fixed Assets Officer to resolve any errors in judgment.
• Review list of assets to be updated in the system.
• Review Asset Discrepancy List 
• Initiate the Revaluation Preview Report and valuation results and seek the necessary approvals as per the Delegation of Authority (DOA).
• Liaise with the Enterprise Asset team to resolve process matters and ease / automate the flow of financial transactions.
• Prepare budgets and forecast for all financial obligations of the section's work related to operation of assets tasks

People Management

• Actively participate in on-the-job training, mentoring and coaching of subordinates
• Provide clear direction, prioritize tasks, assign and delegate responsibility and monitor the workflow

• Conduct day-to-day activities while ensuring compliance to policies and procedures

Knowledge and Experience

• Minimum of 6 years of experience in related Asset Management or related field.

Education and Certifications

Education:

• A Bachelor's degree in business administration, Accounting, Logistics, Supply Chain or related field is required.
• Strong knowledge of asset lifecycle and operational best practices.
• Excellent leadership and team management skills.
• Experience with ERP asset modules and Microsoft Office.
