We are seeking a highly skilled and motivated Event/Conference Manager with 5 to 7 years of experience in managing conferences from concept to completion. The ideal candidate thrives on managing complex projects with precision and creativity, has a passion for delivering exceptional events, and excels in communication, organization, and team leadership. This role requires leading by example and being actively involved in the pre-event activities, onsite during the build-up phase, throughout the conference and in the closing and reporting phase.

Main Objectives

  1. Plan, execute, and deliver conferences that meet or exceed client and organizational expectations.
  2. Lead cross-functional teams, providing hands-on guidance and support to ensure seamless execution.
  3. Be actively present and engaged during all critical phases of the event lifecycle, including pre-event preparations, onsite execution, and post-event reporting.
  4. Drive innovation and elevate the quality of conferences delivered.

Responsibilities

Event Planning and Strategy

  • Collaborate with teams, clients and stakeholders to define event goals, objectives, and deliverables.
  • Develop detailed project pitch, plans, including timelines, budgets, and resource allocation.
  • Propose innovative concepts to enhance attendee engagement and experience.

Leadership and Team Management

  • Lead by example, providing clear direction and hands-on support to team members.
  • Foster a collaborative and motivated work environment for coordinators, vendors, and contractors.
  • Ensure team alignment and accountability across all event phases.

Operational and Onsite Management

  • Actively oversee onsite activities during the build-up phase, ensuring setup aligns with specifications.
  • Manage event day operations, coordinating teams and resolving any arising issues promptly.
  • Supervise post-event activities, including dismantling and venue handover.

Budget and Financial Management

  • Develop and manage event budgets, ensuring efficient use of resources.
  • Monitor expenses, negotiate vendor agreements, and maintain cost control.
  • Provide detailed financial reports and post-event analyses.

Post-Event Evaluation

  • Collect and analyze feedback from attendees and stakeholders to identify successes and areas for improvement.
  • Deliver comprehensive post-event reports with actionable recommendations for future projects.

Qualifications

Education and Experience

  • Bachelor's degree in Event Management, Hospitality, Business Administration, or a related field.
  • 5 to 7 years of proven experience managing conferences or large-scale events.

  • Strong leadership skills, with the ability to lead by example and inspire teams.
  • Exceptional organizational and project management capabilities.

Technical Skills

Work Conditions

  • Ability to work flexible hours, including evenings and weekends as required.
  • Regular travel and extended periods onsite during pre-event, build-up, and event days.
