The Role
The Suppliers Manager – Exhibitions is responsible for sourcing, managing, and coordinating all third-party suppliers and service providers involved in exhibition and event production. This role ensures that all materials, fabrication, logistics, and services are delivered on time, within budget, and to the required quality and safety standards.
Key Responsibilities
- Supplier & Procurement Management
- Identify, evaluate, and onboard reliable suppliers for exhibition materials, fabrication, logistics, and other services.
- Negotiate contracts, pricing, and terms to ensure cost-effective procurement without compromising quality.
- Develop and maintain a comprehensive supplier database with performance records.
- Ensure suppliers adhere to company standards, project specifications, and sustainability policies.
- Project Coordination
- Collaborate closely with project managers, designers, and production teams to define supplier requirements and timelines.
- Oversee supplier deliverables and monitor progress throughout design, build, and installation phases.
- Coordinate logistics of materials, shipments, and deliveries to ensure timely installation on-site.
- Resolve supply or quality issues promptly to avoid project delays.
- Quality, Cost & Compliance
- Conduct regular quality checks and supplier audits to ensure consistent standards.
- Track budgets, purchase orders, and invoices; monitor cost control and financial reporting.
- Ensure compliance with health & safety regulations and venue guidelines.
- Review and evaluate supplier performance post-project and implement improvement measures.
- Relationship Management
- Foster strong partnerships with key vendors, contractors, and manufacturers.
- Maintain transparent communication between suppliers and internal stakeholders.
- Identify opportunities for strategic sourcing and long-term partnerships.
Qualifications & Skills
- Minimum 5+ years of experience in procurement or supplier management,
- preferably within the exhibitions, events, or construction industries.
- Strong negotiation and contract management skills.
- Excellent understanding of exhibition materials, fabrication processes, and logistics workflows.
- Strong organizational, analytical, and problem-solving abilities.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office and procurement software (e.g., ERP systems, Excel, or
- project management tools).
- Ability to work under pressure and manage multiple projects simultaneously.
- Flexibility to travel and work extended hours during event periods.
- Flexibility to work evenings, weekends, and travel as required.
- Ability to communicate in Arabic and English is preferred.
