Responsibilities:

  • Document Management: Maintain an accurate and uptodate document control system using Aconex and other relevant software. Ensure that all project documents, including drawings, specifications, contracts, and correspondence, are properly recorded, distributed, and archived.
  • Documentation Control: Review incoming documents for accuracy, completeness, and compliance with established standards. Track and monitor document revisions, ensuring that the latest versions are readily available to project team members.
  • Document Distribution: Coordinate the distribution of documents to internal and external stakeholders, ensuring that the right documents reach the right recipients in a timely manner. Maintain a log of document transmittals and ensure proper acknowledgment of receipt.
  • Quality Assurance: Conduct regular audits of the document control system to ensure compliance with project requirements and industry standards. Identify and resolve any discrepancies or nonconformities promptly.
  • Collaboration: Work closely with project teams, engineers, contractors, and other stakeholders to facilitate efficient document control processes. Provide guidance and training to project team members on document control procedures and best practices.
  • Information Security: Implement and maintain strict confidentiality protocols for sensitive project documents. Ensure that access to confidential information is granted only to authorized personnel.
  • Reporting: Generate regular reports on document control activities, including document status, pending actions, and any issues or challenges encountered. Provide updates to project management as required.

Requirements:

  • Proven experience as a Document Controller or similar role, preferably in construction or engineering projects.
  • Familiarity with Aconex and other document control software.
  • Strong knowledge of document control processes, standards, and best practices.
  • Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously.
  • Attention to detail and accuracy in managing documents.
  • Strong communication and interpersonal skills.
  • Ability to work independently and collaboratively within a team.
  • Proficient in Microsoft Office Suite.
