The Role
We are seeking a highly organized and detail-oriented administrative assistant to join our legal services team in Riyadh.

As an administrative assistant, you will play a key role in supporting our legal professionals and ensuring the smooth day-to-day operations of our firm.

Your attention to detail, strong communication skills, and ability to multi-task will be essential in this fast-paced environment.

Responsibilities

  • Scanning, photocopying and printing documents;
  • Collating document folders, indexing and labelling;
  • Keep track of original documents;
  • Updating client/contact database on InterAction;
  • Adding activity reports to InterAction in relation the case handlers business development activities;
  • Submitting expenses each month;
  • Matter file opening and changes using Intapp;
  • Generating temporary matter numbers and linking to matter number once received;
  • Creating first draft Letter of Engagement from the firm's template;
  • Archiving files;
  • Submitting external vendor invoices for authorisation (using internal forms) and liaising with Finance to request payments;
  • Amending narrative on billing guides;
  • Assisting Business Development department with specific client events;
  • Assisting secretaries with document amendments on adhoc basis;
  • Providing adhoc cover for reception;

Requirements:

  • Proven experience as an administrative assistant in a legal environment
  • Strong organisational and timemanagement skills
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite
  • Attention to detail and ability to prioritize tasks
  • Ability to work independently and collaboratively in a team
  • Excellent interpersonal skills and professional demeanor
  • Familiarity with legal terminology and processes
  • Ability to handle confidential information with integrity
  • Strong problemsolving and decisionmaking skills
  • Flexibility to adapt to changing priorities and deadlines
  • High level of professionalism and discretion
  • Bachelor's degree in business administration or a related field (preferred)
