What is the role?

The Office Administrator is a member of the local cluster organization and will own administrational duties, office procedures with a strong focus on customer service.
You will be responsible for supporting first-level customers in MOH as well as for managing correspondences, orders in partnership with our distribution partner, returns. You will work internally with departments such as Finance/Accounting, Marketing, Commercial Excellence, Warehouse & Logistics and might contribute to projects or special tasks as needed.

The position is based in our Office in Riyadh, Saudi Arabia and reports directly to the cluster Business Director.

Duties/Responsibilities:

  • Customer service support e.g., customer correspondence, both phone and email, order management, including collaboration with external logistics partner
  • Coordinate MOH deliveries along with Sales team and our Distributor .
  • Manager returns with both customers and QA dept. in Galway, Ireland
  • Manage office, including correspondence, phones, filing, and other administrative duties as required, managing office supplies, equipment, and facilities. Coordinate office maintenance and repairs as required.
  • Welcome, greet and direct visitors as appropriate.
  • Administrative support of the sales & marketing department
  • Work together with departments such as Finance/Accounting, Marketing, Commercial Excellence, Warehouse & Logistics as needed
  • Carrying out project-related or special tasks as needed
  • Support and act as a stand-in for the Office & Customer Service Manager Saudi Arabia or Sales and Marketing Executive during the absence.
  • Liaise with external vendors and service providers, including contractors, suppliers, and utilities.
  • Experience with negotiating contracts with governmental entities.
  • Assist with the planning and execution of company events, meetings, and conferences.
  • Coordinate events logistics, including venue selection, and transportation arrangements.
  • Process invoices and ensure timely payment.

JOBQUALIFICATIONS

  • Fluent in Arabic as well as in English.
  • Due to Saudisation requirements, this role is open to Saudi Nationals only.
  • Bachelor's Degree (any subject), with proven experience as an Office Administrator, Administrative Assistant, or similar role.
  • Ability to work cross-functions / cross-divisions in a multicultural environment - team player.
  • Good interpersonal and communication skills
  • Creative problem solving
  • IT skills, including all Microsoft packages and a CRM platform (preferably Salesforce)
  • Excellent communication skills engaging and adjusting to the audience.

Knowledge of office managementsystems and procedures.

Fluent in Arabic and professionalEnglish.

Professional handling of thecommon MS Office programs, especially Outlook, Word, PowerPoint, and Excel
