**Training (General)**

1. Receive booking forms from the Sales Team and liaise with client companies to schedule training

2. Communicate booking details to the Training Team via WhatsApp and the booking system

3. Ensure that required resources are available for each training course to include:

- Attendance sheets and Feedback Forms (Backup where online access is not possible)
- Exam sheets and answer sheets (for medical courses)
- Class roster for medical courses as required (BLS, ACLS, PALS, First Aid)

4. Liaise with the Trainers and Training manager to address issues that arise during training delivery

5. Collate training records and update the certificate tracker for each course

6. Prepare and print hard copy training certificates as required or send electronic certificates for courses where payment has been received

7. Classroom setup. Assist trainers to prepare classrooms

**Support Services**

1. Maintain training and other company records, such as employee data, accreditation and certification copies, Trade license copies and update relevant staff (Trainers, Management, Accounts) prior to expiry dates

2. Manage agendas/travel arrangements/appointments etc. for the Management

3. Track available quantities of office and training consumables and liaise with Accounts to ensure that sufficient stocks are maintained (Paper, ink, training course consumables, tea coffee etc.)

4. Perform routine filing and data entry tasks as requested

5. Carry out reception duties:

- Greet people entering the building, answering any questions, providing directions and alerting staff when someone is there to meet or visit them
- Answer the phone and manage calls by routing them to the proper person or taking and relaying messages. Set up conference calls or Zoom meetings as requested
- Manage the log of who is entering and exiting the office
- Accept deliveries and mail and distribute them to the correct recipients in a timely manner
- Manage outgoing mail and packages for pickup
- Maintain the reception area, keeping it clean and free of clutter

**Qualifications**:

- at least 2-years of proven experience in the same position
- Bachelors degree in any discipline or equivalent
- proficient in Microsoft Office
- knowledge of office procedures, software and office management systems (SAP, CRM) is highly proffered.
- Excellent verbal and written communication in English. Able to speak and write in Arabic is an advantage.
- Ability to think and act independently with mínimal supervision
- Organizational skills including the ability to prioritize workload to meet deadlines
- Upbeat and positive attitude
- Ability to multitask and perform under pressure
