At Ultimate Peaks, we are seeking a skilled Administrative Support Specialist to join our team. As a key member of our front desk, you will be the first point of contact for patients and visitors, ensuring a welcoming and efficient reception experience.

Key Responsibilities
  1. Patient Reception and Check-In:
    We require a professional who can greet patients and visitors in a courteous manner, verify patient information, and complete check-in procedures efficiently.
  2. Appointment Scheduling:
    The ideal candidate should be able to schedule and confirm patient appointments, manage the appointment calendar, and notify patients of any changes to their scheduled appointments.
  3. Patient Inquiries and Communication:
    A strong communicator is essential for handling incoming calls, responding to patient inquiries, and providing information about services, policies, and procedures.
  4. Record Management:
    Maintaining accurate and up-to-date patient records is critical. The successful candidate should process patient registration forms, update information as needed, and ensure confidentiality and security of patient information.
  5. Billing and Payments:
    We need someone who can collect payments for services rendered, issue receipts, assist patients with billing inquiries and insurance claims, and maintain accurate records of financial transactions.
  6. Administrative Support:
    This role involves assisting with administrative tasks such as filing, e-mails, and communications, and supporting the Admin Manager and other staff with special projects and tasks.
  7. Quality and Compliance:
    The successful candidate must adhere to healthcare and organizational regulations, standards, and protocols, especially regarding patient confidentiality and data protection.
  8. Professional Development:
    Ongoing training and professional development are essential to stay updated on administrative best practices and clinic procedures.
Requirements
  • A relevant educational degree; additional qualifications in healthcare administration or customer service are an advantage.
  • Minimal 1 to 2 years of experience as a receptionist or in a customer service role, in a healthcare setting.
  • Strong communication and interpersonal skills.
  • Proficiency in using office software and patient management systems.
  • Excellent organizational skills and attention to detail.
  • Ability to handle multiple tasks and work under pressure.
