KEY RESPONSIBILITIES:

  • Manage the document control process, ensuring that all project documents are accurately organized, archived, and accessible to relevant stakeholders.
  • Oversee the creation, revision, and approval of documents, ensuring that they are accurately tracked and stored.
  • Establish and enforce document control procedures to ensure consistency and compliance with project requirements and company standards.
  • Coordinate the distribution and submission of documents to clients, contractors, and internal teams in a timely and efficient manner.
  • Review project documents for accuracy and completeness, ensuring that all necessary approvals and signatures are obtained.
  • Provide training and support to project teams and junior staff on document control procedures and software tools.
  • Develop and maintain a document tracking system, ensuring that all documents are stored in an organized and easily accessible manner.
  • Work closely with project managers, engineers, and other stakeholders to ensure timely document flow and prevent delays.
  • Ensure compliance with company policies, regulatory requirements, and industry standards for document management.
  • Assist in auditing and reporting on document control activities, identifying areas for improvement, and implementing solutions.

QUALIFICATIONS:

  • Bachelor's Degree in Business Administration, Engineering, or a related field.
  • Typically 5+ years of experience in document control or related roles, with experience in managing large project documentation.
  • Familiarity with document management software (e.g., SharePoint, Aconex, Procore) preferred.
