Job Description

The successful candidate will be responsible for managing the reception area, ensuring seamless communication with guests, and maintaining a high level of customer satisfaction. Key responsibilities include:

  1. Front Office Management: Ensure availability at the reception area, welcome guests, and manage board line calls.
  2. Travel and Accommodation Arrangements:
  • Arrange invitation letters for employees traveling.
  • Manage travel and hotel bookings directly and through the HR in region.
  • Arrange airport pickups and drop-offs.
  • Book accommodation for guests either in our guesthouse or hotels.
  • Monitor guest house housekeeping regularly.

Courier and Mail Management:

  1. Dispatch and receive all Mails / couriers.

Facility Management:

  1. Track facility service due dates.
  2. Ensure all equipment is running or working perfectly.
  3. Car maintenance - servicing of cars and management.
  4. VC rooms and training rooms booking.
  5. Office cleanliness, welfare, regular supervision.
  6. Track vendor contracts.
  7. Documentation, and Time and Attendance management.

Pantry Operations: Ensure smooth pantry operation, pantry cleanliness, and guest servicing.

Employee Engagement: Arrange quarterly CSR and employee engagement activities.

Required Skills and Qualifications

  • Fluent in both Arabic & English.
  • Solid written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to manage in-house activities by applying suitable time management and scheduling strategies.
  • Excellent track record of handling all duties and responsibilities that fall under the receptionist job profile.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Adhere to corporate etiquettes by following appropriate dressing style and presentation.
