Duties and ResponsibilitiesThe Stakeholder Manager will work closely with the PMO team to provide assistance on all stakeholder-related matters under the guidance of the client Team Leader.
Coordinate, manage, and liaise with all stakeholders, authorities, consultants, and contractors, arrange meetings and workshops, prepare presentations, and minutes of meetings.
Review and follow up on document submissions to authorities and provide feedback to the team on required actions.
Administer the handover process of utilities and infrastructure contracts with relevant authorities and stakeholders, including documentation, meetings, inspections, coordination, and approvals.
Prepare reports, manuals, and guidelines related to specific handover and stakeholder issues as required by the client.
Support the program team and act as a client representative to oversee the handover process of contracts.
Attend weekly/monthly meetings, track and record required actions from stakeholders, and follow up on progress.
Liaise with key stakeholders and authorities to ensure a smooth handover of assets on completion of works.
Provide input for weekly/monthly reports on handover and stakeholder-related activities.
Inform the Team Leader of any potential delays in project completion or milestones.
Support PMP and PQP plans applicable to internal and external stakeholders, ensuring that all stakeholders are informed and aligned systems and processes are integrated.
Facilitate structured communication between workstreams, client departments, and external stakeholders.
Define stakeholder needs and develop relevant communication and engagement initiatives.
Coordinate workshops, coordination meetings (online/face-to-face), working groups, and committee meetings – recording meeting minutes.
Manage and organize focus groups of companies, businesses, airline operators, and governmental departments.
Develop RACI matrices for internal and external stakeholders.
Support senior management in guiding and enhancing stakeholder understanding for new processes and technologies.
10 years of experience.
Prior senior stakeholder engagement on large-scale programs with multiple internal and external stakeholders.
Able to work collaboratively with diverse groups of internal and external stakeholders.
Experience in managing others and leading major programs.
Proven ability to work under tight deadlines within a changing environment.
High attention to detail and an eye for excellence.
Strong interpersonal and communication skills, oral and written, including presentation competency.
Excellent judgment, assertiveness, and diplomatic skills.
Able to manage conflict in high-pressure situations.
Fluent in English, both written and spoken, with excellent technical report writing and oral/written communication skills.
Able to work with minimal supervision.
Proficient in MS Office Suite at a professional level.
