Position Summary:
Manage the administration function at ITT Saudi facility and support multiple departments with daily routine tasks. The administration officer will be responsible to simplify admin processes, liaison with the external vendors, company government relation and IT to drive efficient handling of several administration tasks which will allow each department to focus on their own areas of specialty hence increasing the operation efficiency.
Essential Responsibilities:
**Human Resources Function**:
- Support with onboarding / offboarding process: medical insurance, office preparation, ordering / returning assets
- Administer the attendance system and support with reporting for regular and contractor staff
- Control the archiving and filing processes
- Maintain and update training-related records
**Administration Function**:
- Make arrangements for flights, cars, taxis, couriers, hotels, and catering as requested;
- Manage maintenance services for office equipment (i.e. printers, projectors, IT equipment, coffee machines, etc.), as appropriate;
- Support in purchasing and maintenance of supplier relationships (i.e. hotels, grocery service, ordering office supplies required for copying and binding, etc.)
- Coordinate domestic and international travel arrangements including processing of visas for international travel
- Control the janitorial service contractors and make sure they work to standard, Including sanitary supplies and equipment.
**Technical Assistant Support (IT)**:
- Act as focal point of IT-related task that require physical intervention, such as repair and maintenance of Laptops / PCs under supervision of TAC staff
- Manage the storehouse of IT equipment and accessories
Position Requirements:
**Education**:2 yr. Diploma in related fields
**, **Bachelor’s degree preferred.
**Experience**: 0 - 2 years of experience
**Skills/Knowledges**:
- Proficient in Computer skills including Microsoft Office Suite
- Highly organized with ability to manage multiple priorities.
- A self-starter who is very detail oriented and a quick learner.
- Possesses strong communication skills - both written and verbal with employees at all levels.
- Mindful when handling confidential information
