Job Title: Office Service Manager

Overview: We are seeking a highly experienced and dedicated Office Service Manager to oversee the efficient operation of our office services department. With a minimum of 10 years of relevant experience, the ideal candidate will possess strong leadership skills, extensive knowledge of office management practices, and a proven track record of delivering exceptional service. This role requires meticulous attention to detail, effective communication, and the ability to manage multiple responsibilities in a fast-paced environment.

Responsibilities:

1. Office Operations Management:

o Develop and implement strategies to optimize office operations and enhance efficiency.

o Oversee day-to-day activities related to mailroom operations, facilities management, and vendor relationships.

o Coordinate office relocations, renovations, and other facilities projects as needed. o Ensure compliance with health and safety regulations and company policies.

2. Facilities and Space Management:

o Manage office space allocation, seating arrangements, and workstation setups.

o Coordinate maintenance, repairs, and upgrades for office facilities and equipment.

o Collaborate with landlords, property managers, and external vendors to address facility-related issues promptly.

3. Vendor and Supplier Management:

o Negotiate contracts and service agreements with vendors to obtain competitive pricing and quality services.

o Monitor vendor performance and ensure adherence to service level agreements.

o Evaluate vendor proposals and recommend improvements to optimize service delivery.

4. Mailroom and Distribution Services:

o Oversee mailroom operations, including sorting, distribution, and shipping/receiving functions.

o Implement procedures to track and manage incoming and outgoing mail, packages, and deliveries.

o Coordinate courier services and handle special delivery requests as needed.

5. Budgeting and Cost Control:

o Develop and manage budgets for office services, including facilities maintenance, supplies, and equipment.

o Monitor expenses, analyze variances, and implement cost-saving initiatives where possible.

o Prepare regular reports and financial forecasts to support decision-making processes.

6. Team Leadership and Development:

o Lead and mentor a team of office services staff, providing guidance, support, and performance feedback.

o Foster a positive work environment that promotes collaboration, innovation, and continuous improvement.

o Identify training needs and opportunities for professional development to enhance team capabilities.

Qualifications:

  • Minimum of 10 years of experience in office management, facilities management, or a related field.
  • Bachelor's degree in business administration, facilities management, or a relevant discipline preferred. Proven leadership experience with the ability to motivate and inspire teams.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite and office management software.
  • Knowledge of relevant regulations and best practices in office services and facilities management.
