Leads and provides support to organizational operations by maintaining office systems and supervising staff. This position ensures that the office runs smoothly and effectively by identifying office management improvements that lead to the efficiency of operations.

Responsibilities
  • Manages the office administration and ensures the smooth and effective overall operations of the office.
  • Establishes and monitors office procedures, and coordinates schedules, appointments, and bookings.
  • Ensures seamless cooperation within the department and provides continuous process improvements in controlling processes to offer cost-efficient services fulfilling business and statutory requirements.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Allocates available resources to enable successful task performance.
  • Coordinates office staff activities to ensure maximum efficiency.
  • Organizes orientation and training of new office staff.
  • Coordinates with department and office staff.
  • Monitors and maintains office supply acquisitions.
  • Manages internal staff relations.
  • Ensures security, integrity, and confidentiality of correspondence and information.
  • Designs and implements an effective filing system.
  • Ensures filing systems are maintained and current.
  • Assigns staff to help organize appointments with the direct supervisor and provides necessary advice/reminders on a daily basis to ensure critical meetings are not missed.
  • Collates data or prepares professional reports, memos or presentations as requested by the supervisor within the established time frame with minimal errors.
  • Prepares accurate and well-presented correspondence on a daily basis.
  • Ensures that required correspondence is submitted for signature/approval within one day from receipt of instruction.
  • Prepares and submits all required reports in a timely manner.
Job Experience
  • Total of 11 years of experience required.
  • 5 years of similar job experience.
  • 5 years in GCC is preferred.
Education
  • Bachelor's Degree in Business Administration, Finance, Accounting, Economics, Public Administration, or a related field.
