The Facilities & Administration Manager will oversee the administrative and operational aspects of managing the facility's daily functions, ensuring compliance with municipal building regulations, safety standards, and civil defense requirements. The ideal candidate will have extensive administrative experience, a strong understanding of local building codes, and an in-depth knowledge of civil defense protocols.
Key Responsibilities:
- Administrative Oversight:
- Manage day-to-day operations of the facility, including maintenance schedules, office management, and supply inventory.
- Coordinate the facility's administrative functions such as record keeping, correspondence, and documentation.
- Handle tenant requests and coordinate facility-related services, ensuring seamless operations.
- Prepare reports and documentation for management, including facility status, safety audits, and operational performance.
- Ensure timely execution of administrative tasks, including managing schedules, meetings, and communications with staff and external vendors.
- Municipality Compliance:
- Ensure all facility operations are in compliance with local municipality regulations and building codes.
- Manage the documentation and permit applications for construction, renovation, and other facility-related works, ensuring compliance with regulatory requirements.
- Liaise with local authorities, such as municipal building inspectors, to ensure all required inspections and approvals are completed.
- Monitor updates in municipal regulations and ensure the facility's operations and infrastructure remain up-to-date with changing laws.
- Civil Defense and Safety Management:
- Oversee the facility's safety protocols, ensuring adherence to civil defense regulations.
- Implement and maintain emergency response plans, evacuation procedures, and safety drills in line with local civil defense requirements.
- Regularly inspect the facility to ensure compliance with safety and fire protection codes.
- Facility Operations and Maintenance:
- Manage the building's maintenance, including ensuring HVAC, electrical, plumbing, and other critical systems are functioning.
- Coordinate with vendors and contractors for regular maintenance and emergency repairs.
- Ensure the facility is clean, secure, and well-maintained, maintaining a professional and safe environment for all occupants.
Qualifications:
- Education:
- Bachelor's degree in Facility Management, Business Administration, or related field.
- Certification in Facility Management (CFM) or similar certifications is a plus.
- Experience:
- Proven experience (7+ years) in an administrative and facility management role.
- Knowledge of local municipality building regulations and civil defense requirements.
- Experience in coordinating safety, emergency response, and disaster management plans.
- Skills and Abilities:
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in facility management software and Microsoft Office Suite.
- Ability to manage budgets, procurement, and vendor relationships.
- In-depth understanding of building maintenance procedures, safety regulations, and emergency protocols.
- Additional Requirements:
- Knowledge of relevant local civil defense protocols and building safety codes.
- Ability to work under pressure and handle urgent tasks and emergencies effectively.
