Job Title: Document Controller

Position Reports to: Operations Manager

SUMMARY: Responsible for the timely, accurate and efficient preparation and management of documents.

PRIMARY FUNCTIONS AND ESSENTIAL RESPONSIBILITIES:

  • Supports colleagues by providing an administrative service
  • Prepares and updates spreadsheets
  • Prepares posters and other material
  • Indexing and filing
  • Controlling company and project documentation
  • Following and improving document control procedures
  • Ensuring all documentation meets formal requirements and required standards
  • Sorting, storing and retrieving electronic and hard copy documents on behalf of clients and industry professionals
  • Producing document progress reports for senior managers
  • Conducting regular reviews and document audits
  • Using computers to organise and distribute documents within a company
  • Prepare and issue formal transmittals for all outgoing information
  • Helping in the planning stages of a specific project
  • Ensure documents are shared at key times to facilitate timely project completion
  • Reviewing and updating technical documents such as workflows and manuals
  • Maintaining confidentiality of sensitive information (e.g. terms of the agreement)
  • Any other activity as instructed.

EDUCATION / CERTIFICATION / KNOWLEDGE:

  • High School diploma or otherwise extensive industry experience and demonstrated capabilities
  • Demonstrated proficiency in the Microsoft Office environment including Word, Excel, PowerPoint, Outlook and Document Management software.

EXPERIENCE: Requires minimum of 3 years related experience.

  • Strong organizational skills, interpersonal skills and a positive attitude
  • Strong verbal and written communication skills
  • Proven skills related to the position
  • Great multi-tasking abilities and attention to detail.
