**Job Description / Capsule**
Supervise administration and facility support staff and developing activities, allocating resources as necessary. Provide high-level confidential secretarial and administrative support to the CD.
Developing work plans and mechanisms for facility team and contributing to achieving the country’s goals through supervision and follow-up on all operational work in the relevant operational plan.
**Typical Accountabilities**
**Admin & Facility Management**:
- Strengthening relationships with internal and external partners to ensure the provision of services according to the best standards
- Provide the necessary support to the leadership team of the country and implement assigned tasks
- Ensure that all duties of administrative and logístical support and assistance are provided to work in accordance with the priorities and specific instructions
- Follow-up to coordinate and secure various activities and relationships
- Provides administrative or secretarial services to the CD, coordinating meetings and off-site events, diary arrangements and travel in line with AZ policy
- Provides specialist project based administrative support when required
- Controls small projects under general guidance ensuring delivery of project outputs according to plan, reviewing and refining plans as necessary
- Coordinates internal and external meetings / conferences so that they run smoothly, including scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available.
- Works with corporate systems for logistics & operation controls (eg. SAP, Concur, etc)
**Facility’s Vendor Management**:
- Perform periodic spend analysis for AZ external spending and identify opportunities for cost reductions.
- Maintain a cost reduction, cost avoidance, cost containment program and reports it via the value database.
- Leverage and adapt as appropriate AZ Procurement processes and techniques.
- Support the preparation of and solicit competitive bids, quotations and proposals with pertinent specifications, terms and conditions.
- Support the evaluation of competitive offerings to determine the overall best offer for a product or service. Develop bid evaluation approach in support of supplier selection process
- Analyse contracts and agreements for the supply of both standard and complex products and services with new and existing suppliers.
- Support & implement global initiatives to ensure successful roll out in local market
**Corporate responsibility**:
- Maintains highest ethical standards and work in a spirit of AstraZeneca Code of Ethics, following rules & norms set by corporate policies
- Ensures that all conducted activities are done in accordance with local legislation and corporate standards.
- Timely reports (as per respective procedures): health/environment/wellbeing related accidents; adverse events that you became aware about; change in status of your Conflict of Interest.
**Education, Qualifications, Skills and Experience**
**Essential**
- Min. 5 yrs of experience in similar positions
- Excellent communication and interpersonal skills.
- Excellent command of spoken and written English
- Ability to meet strict deadlines
- Able to maintain confidentiality at all times
**Desirable**
- Proven experience as PA
- Negotiation Skills
- Proven Experience in handling multi tasks in same time
- Strong Microsoft Office skills.
- Commercial awareness and numeracy skills
- Ability to work with little supervision and track multiple processes
- Shared services experience
