**DUTIES AND RESPONSIBILITIES**

An Executive Secretary maintains the executive’s agenda, plans appointments and meetings, attends meetings and takes minutes, handles phone calls, manages correspondence, arranges travel, maintains records, and assists in various administrative tasks. They ensure efficient coordination and support to executives, allowing them to focus on their managerial responsibilities. Following up with all departments.

**RESPONSIBILITIES**:

- Attend daily Morning Breifing keep notes and shared with all Concern.
- Maintain the record of HODs daily attendance.
- Update the daily Summary report by taking the data from DS report.
- Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
- Receive and screen phone calls and redirect them when appropriate.
- Handle confidential documents ensuring they remain secure.
- Prepare invoices or financial statements and provide assistance in bookkeeping.
- Maintain electronic and paper records ensuring information is organized and easily accessible.
- Prepare Monthly MOD Schedule and shared.

**What we need from you**
- College Diploma or Bachelor’s degree.
- Strong command in English language, both oral and written.
- Keen and attentive to details.
- Skillful in using the computer.
- Proactive, responsible, hardworking and able to work under pressure.
- Experience in the secretarial field is preferable.
