Correspondence Tracking and Document Archiving Systems Technician

**Qualifications**:
- **Educational Background**:
- Bachelor's degree in Computer Science, Information Technology, or a related field.
- Certifications in relevant systems or technologies (e.g., Microsoft SharePoint, ECM systems, Correspondence & Communication Systems or similar) are an advantage.
- **Experience**:
- Minimum of 3-5 years of hands-on experience in implementing, managing, and troubleshooting administrative communication systems and document archiving solutions.
- Proven experience with enterprise-level document management systems (e.g., OpenText, FileNet, Laserfiche, Alfresco, or similar).
- **Technical Expertise**:
- Deep understanding of electronic document and record management systems (EDRMS).
- Knowledge of workflow automation and integration with other enterprise systems.
- Proficiency in database management and querying (e.g. Oracle or SQL).
- Familiarity with technologies like OCR (Optical Character Recognition) and metadata tagging.
**Responsibilities**:
- **System Implementation**:
- Deploy and configure administrative communication and archiving systems according to organizational needs.
- Ensure integration with existing IT infrastructure and third-party systems.
- **Maintenance and Troubleshooting**:
- Monitor system performance and resolve technical issues promptly.
- Ensure system uptime and data integrity through regular backups and updates.
- **User Support and Training**:
- Provide technical support to users, resolving queries related to system usage.
- Develop user manuals and conduct training sessions for staff.
- **Compliance and Security**:
- Ensure the system adheres to industry standards and organizational data protection policies.
- Implement role-based access controls and audit trails for sensitive documents.
- **System Optimization**:
- Analyze current workflows and suggest system improvements to enhance efficiency.
- Regularly update the system with new features and ensure compatibility with emerging technologies.
**Key Skills**:
- Strong analytical and problem-solving skills.
- Excellent knowledge of system integration, APIs, and web services.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Strong written and verbal communication skills in English.
**Preferred Qualifications**:
- Experience with cloud-based document management solutions.
- Familiarity with regulatory requirements like NACR for records management.
- Knowledge of project management methodologies such as Agile or Scrum.
