Main responsibilities & deliverables
- (Receives) and (maintains) contract records including contracts, amendments, transmittal letters, copies of deliverables and materials, invoices, and correspondence related to contracts.
- (Ensures) for each contract, that budgets, performance, deliverables, and invoicing are in compliance with the contract.
- (Tracks) contractor performance, project deliverables and provides status reports and recommendations to management, including deliverables and contract compliance audits; assists in the solicitation, evaluation, and award of Services & consulting contracts.
- (Assists) in managing contract changes by participating in the change management process for the contract requirements, coordinates, and tracks work authorization, (assists) in preparing contract amendments, coordinates the contract amendment approvals, and (ensures) contract amendments are placed under configuration control.
- (Ensures) contractual obligations of the parties are met and are continuously monitored for compliance, including all requirements, deliverables, contractor compensation, service level agreements, liquidated damages, and contract amendments due to work authorizations, system change authorizations, and/or technical services requests.
- Obtain and analyze bids in accordance with established policies and procedures.
- (Provides) contract closeout and contract historical files to the line manager.
- Researching and evaluating prospective suppliers, pre-qualification and recommendation.
- Maintaining and updating supplier list such as legal documents, contact details, product ranges, etc.
- Prepare and distribute reports as per management request.
- Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date.
- Check requisitions for completeness and clarity. Obtain necessary missing information where required.
- Instruct requisitioners or specifiers on what data is necessary to obtain good product.
- Prepare purchase orders or other agreements as necessary and check them for accuracy and completeness before issuing.
- Review acknowledgements for agreement with purchase orders and resolve any discrepancies with the supplier to the best possible advantage for this organization.
- Follow-up or expedite orders as necessary to meet schedules & client requirements.
- Keep the line manager informed of all activities or problems and submit reports as requested by management
- Advanced knowledge in Microsoft Office is a must
- Strong Knowledge of Riyadh and KSA Engineering services companies is an advantage
- Grounded experience in Facilities Management Service support an advantage

Qualifications and Knowledge
- Diploma/ BSc

Experience (Yrs.)
- 3 -5 years relevant experience preferably in Facility management
