Operations and Support Specialist

About the role:
The School Services Coordinator will play a vital role in ensuring the smooth operation of School Services. This includes supervising cafeteria operations, supporting front desk functions, coordinating house inspections, and addressing follow-up actions as needed. The ideal candidate will be highly organized, proactive, and capable of working collaboratively with different departments, staff, and external parties.
Responsibilities:
Cafeteria Operations- Track and manage stock levels of tableware and cafeteria essentials.
- Foster effective communication between School Services and Staff working in the cafeteria.
- Provide support at the front desk in the absence of the receptionist to maintain school communication and visitor assistance.
- Maintain accurate records of school-provided housing allocations.
- Participate in allocated staff house inspections and follow up on necessary actions.
- Identify and report maintenance issues to facilitate timely repairs.
- Update pet registers as necessary.
- Coordinate pest control schedules and preventive maintenance measures with school residents.
- Support house inspections, organization of house moves, and communication with the facilities team.
- Ensure compliance with school recycling policies.
- Support student council, sustainability teams, and Eco Leaders in implementing new initiatives, including resource allocation and task coordination.
- Provide support during peak periods as needed.
- Complete other tasks related to the School Services Department as assigned by the School Services Manager.
Requirements:
- Proficiency in Microsoft Office and Google Suite.
- Fluency in English, with good understanding of Arabic an advantage.
- Familiarity with the local community and cultural sensitivity.

- Strong organizational skills with attention to detail, ability to prioritize and multi-task.
- Effective communication & interpersonal skills.
- Problem-solving mindset to address logistical and operational challenges.
- Knowledge or interest in sustainability and environmental initiatives an advantage.
- Proficiency in basic administrative and coordination tasks.
- Discretion and confidentiality when handling sensitive information.
- Flexibility and availability to work during busy periods, weekends, and after-hours as needed.
Experience:
Proven experience in an Administrative or Coordinating role in an International School or Hospitality an advantage.
Safeguarding:
- All background checks must be completed prior to employment or updated as necessary during employment.
- BISJ's mandatory Safeguarding training must remain current and up-to-date for all staff members throughout their tenure.
- It is essential to consistently adhere to BISJ's Safeguarding and Child Protection Policy, ensuring that any concerns are promptly reported to the Designated Safeguarding Officer(s) (DSO).
