As an Office Services Coordinator at Oliver Wyman, you will play a crucial role in creating a positive and welcoming atmosphere for our clients and visitors. Your exceptional customer service skills and ability to handle a variety of administrative tasks will make you an asset to our team.

Responsibilities:

  1. Greet clients and visitors with a professional demeanor and direct them to the appropriate person or department.
  2. Manage and maintain a tidy and organized reception area.
  3. Answer, screen, and forward incoming calls, messages, and inquiries promptly and professionally.
  4. Assist with administrative tasks, including scheduling appointments, managing calendars, and organizing meetings.
  5. Prepare and distribute internal and external communications.
  6. Coordinate business card requests with suppliers.
  7. Manage administration of AMEX Corporate Credit Cards.
  8. Invoice processing – raising requisitions/PO with vendor management.
  9. Serve as point of contact for escalating employee issues with BCD Travel.
  10. Follow up on and send out the monthly BCD travel report to staff.
  11. Manage the Office Services onboarding/offboarding process.
  12. Handle office directory management and distribution.
  13. Liaise with the Facilities team for maintenance issues.
  14. Manage meeting room booking process and coordinate catering requirements.
  15. Work closely with Facilities team to ensure meeting room setups are accurate and timely.
