We are seeking a highly skilled and organised Senior Business Operations Specialist to support the smooth day-to-day management of our growing business. This role involves providing exceptional administrative support, ensuring seamless communication with teams and stakeholders, and managing shared mailboxes with ease.

Key Responsibilities
  1. Welcome visitors, assist with meeting arrangements and coordinate team events.
  2. Manage shared Outlook mailboxes, respond promptly to inquiries and maintain accurate records.

Executive Support

  1. Provide direct administrative assistance to senior leadership and visiting team members.
  2. Responsibilities include diary management, travel arrangements, report preparation and meeting organisation.
  3. Support client communication development and implementation.

Quality Management

  1. Assist in managing insurance, licenses and documentation, including staff policies.
  2. Stay updated on local regulations and implement necessary adjustments for compliance.
  3. Coordinate with authorities as needed to address compliance matters.
  4. Administer the company documentation system, ensuring version control and staff training.

IT & Systems

  1. Serve as primary liaison with service providers for high-quality service delivery.
  2. Assist in maintaining IT infrastructure, applications and databases.
  3. Provide support for CRM, travel and other business systems.

General Support

  1. HR: Assist HR with PRO services, including visa processing and secondary registration.
  2. Finance: Offer support for financial management duties, including invoice processing and payments.
  3. Projects: Provide administrative support to project teams, arranging visas, insurance and travel.
Personal Skills and Experience
  1. A professional qualification in business administration or equivalent experience.
  2. Proven experience in business administration within a small to medium scale company.
  3. A track record of working across business areas noted in the job description.
  4. Proficient in SharePoint, Microsoft 365 and Office tools.
  5. Good knowledge of IT systems, software, hardware and technical capabilities.
