Commercial Specialist

This role is responsible for managing and maintaining letters of credit (L/Cs) and bank guarantees (B/Gs) for purchase orders (POs) efficiently, in a timely manner, and to the required quality standards. The goal is to achieve departmental operational plans and developments.

Key Responsibilities:

  • Ensure accurate and up-to-date status of all L/Cs and B/Gs, updating records daily.
  • Coordinate with the immediate manager, treasury, project manager office, and supplier to draft L/Cs.
  • Obtain B/Gs from suppliers in accordance with PO terms and conditions.
  • Enter L/C and B/G data into the system.
  • Collaborate with the treasury department for L/C opening and B/G extension/release.
  • Monitor L/C and B/G expiry dates and take timely action as necessary.
  • Maintain organized filing of L/Cs, including transmission copies from the bank through treasury.
  • Maintain organized filing of B/Gs, including extension/release notifications from the bank through treasury.
  • Prepare correspondence related to L/Cs and B/Gs.
  • Ensure documentation requirements for periodic ISO audits are met.

  • Meet operational and development targets as per delivery schedules.
  • Effectively utilize resources to achieve objectives within efficient cost and time.
  • Provide regular reports detailing deviations and execution of planned tasks.

Problem-Solving and Quality:

  • Solve related problems and escalate complex operational issues.
  • Ensure quality requirements are met to develop effective quality control and processes.

Business Process Improvements and Compliance:

  • Coordinate written systems, policies, procedures, and seek automation opportunities.
  • Comply with related policies and procedures and work instructions.

Health, Safety, and Environment:

  • Ensure compliance with relevant safety, quality, and environmental management procedures and controls.
