Job Summary

We are seeking a highly motivated and organized Front Office Coordinator to join our team at John Wood Group. As a key member of our front office team, you will be responsible for providing exceptional customer service and administrative support to our employees and visitors.

Key Responsibilities

  • Front Desk Operations
    • Manage the front desk, including greeting visitors, answering phone calls, and responding to emails
    • Coordinate and schedule meetings and appointments
    • Provide administrative support to the team, including data entry and document preparation
  • Communication and Customer Service
    • Develop and maintain effective relationships with employees, visitors, and external partners
    • Provide exceptional customer service, responding to inquiries and resolving issues in a timely and professional manner
  • Administrative Support
    • Manage and maintain accurate records, including calendars, schedules, and contact information
    • Prepare and distribute meeting materials, reports, and other documents as needed
  • Office Maintenance
    • Ensure the front office area is clean, organized, and well-maintained
    • Coordinate and schedule maintenance and repairs as needed

Requirements

  • Education and Experience
    • High school diploma or equivalent required; associate's or bachelor's degree preferred
    • Minimum 1-2 years of experience in a front office or administrative role
  • Skills and Abilities
    • Excellent communication and customer service skills
    • Strong organizational and time management skills
    • Ability to work in a fast-paced environment and prioritize tasks effectively
    • Proficient in Microsoft Office and other administrative software
