About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at H. M. Al Rugaib & Sons Trading Co. - شركة حمد محمد الرقيب و أولاده التجارية. As an Administrative Assistant, you will play a vital role in ensuring the smooth day-to-day operation of our office.

Key Responsibilities
  • Administrative Support: Provide administrative support to our managers and employees, including preparing reports, maintaining filing systems, and performing other administrative tasks.
  • Communication: Develop and maintain effective communication with internal and external clients, including responding to inquiries and resolving issues.
  • Travel Arrangements: Book travel arrangements and make necessary reservations for employees and visitors.
  • Expense Reports: Submit and reconcile expense reports in a timely and accurate manner.
  • Office Operations: Assist in the maintenance of office policies and procedures, including updating and maintaining contact lists and office supplies.
  • Meeting Coordination: Plan and coordinate meetings, including scheduling appointments and preparing meeting materials.
  • Minute Taking: Take detailed minutes during meetings and distribute them to relevant parties.
  • Correspondence: Prepare and distribute correspondence, including emails, memos, letters, and faxes.
Requirements and Skills
  • Experience: Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
  • Knowledge: Working knowledge of office management systems and procedures, including MS Office (MS Excel and MS PowerPoint).
  • Skills: Excellent time management skills, attention to detail, problem-solving skills, and strong organizational skills with the ability to multi-task.
