Key Responsibilities
  • Document Control Resource Planning: Develop and maintain document control resource planning to ensure efficient management of documents and records.
  • Leadership and Guidance: Provide leadership and guidance to the Document Control team, ensuring smooth document management, correspondence, and communication between all stakeholders.
  • Electronic Document Management System (EDMS) and Common Data Environment (CDE): Ensure configuration and implementation of the EDMS and CDE, meeting both client requirements and relevant quality policies for document preparation, verification, approval, and issuance.
  • Document and Records Management Control: Develop and implement essential document and records management control workflows, plans, procedures, protocols, and guidelines as per project requirements and scope of works.
  • Knowledge Transfer and Training: Provide knowledge transfer, guidance, and training to the document control team and all project stakeholders on documentation management systems, processes, and best practices.
  • Periodic Reviews and Audits: Conduct periodic reviews and internal/external audits on documentation management, recording outcomes and findings, and implementing lessons learned to maintain a proper documentation system.
  • Document Control Focal Points: Manage document control focal points for individual projects and consultants.
  • Continuous Improvement: Provide functional expertise for continuous improvement of EDMS and CDE, developing and implementing KPIs to determine proper traceability of documentation and communication within projects.
  • Stakeholder Coordination: Constantly coordinate with all stakeholders to ensure maximum efficiency in the control, collaboration, and communication of documents and records management.
Requirements
  • Minimum 10 Years of Experience: In relevant organizations on large programs/projects.
  • Proven Track Record: In the delivery of large multi-functional programs/projects.
  • DC Resource Management: With a team of professionals.
  • Effective Communication and Problem-Solving Skills: With the ability to build and lead a team.
  • Experience in Functional Requirements Mapping: For EDMS and CDE development.
  • Extensive Experience in Managing Information: Between multiple EDMs and CDEs.
  • Data Security and Quality: Ensuring that data security and quality remain at the highest standard possible.
  • Experience and Understanding of ISO 9001 Quality Requirements: And the ability to communicate confidently in both written and spoken English.
  • Arabic Translation Advantageous: But not essential.
Computer Skills
  • High-Level Computer Literacy: Especially in Windows, MS Office (Word, Outlook, Excel, and PowerPoint).
  • Experience in MS SharePoint, Aconex, BIM360/ACC: And data visualization/dashboard tools (PowerBI) advantageous but not essential.
