Proactive Operations Assistant

We are seeking a proactive and organized Proactive Operations Assistant to support our management team at Idsccc. The Proactive Operations Assistant will play a critical role in ensuring the smooth operation of daily activities, managing schedules, handling communications, and providing administrative support.
Responsibilities:- Manage and organize the manager's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as required.
- Maintain and organize files, records, and documentation.
- Serve as the first point of contact for the manager, screening calls, emails, and messages.
- Respond to inquiries and redirect them to the appropriate team members when necessary.
- Draft and distribute internal and external communications on behalf of the manager.
- Organize and prepare materials for meetings, ensuring agendas and minutes are documented.
- Assist in coordinating with stakeholders to ensure timely and efficient meeting arrangements.
- Follow up on action items and ensure deadlines are met.
- Support the manager in tracking and managing tasks, priorities, and projects.
- Assist in planning, organizing, and executing company events, initiatives, or team activities.
- Conduct research and provide summaries or reports as requested.
- Liaise with internal departments and external partners on behalf of the manager.
- Maintain strong relationships with stakeholders to ensure smooth communication and collaboration.
- Bachelor's degree in Business Administration, Management, or a related field (or equivalent experience).
- Proven experience as an executive or administrative assistant, or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to handle multiple tasks, prioritize, and meet deadlines in a fast-paced environment.
- High level of professionalism and discretion when handling confidential information.
- Strong interpersonal skills and a positive attitude.
