**Role of the Department**
**DUTIES**:
- _ Assists with travel arrangements for Survey Specialists including flights, car hire, hotels etc and advises all relevant parties of arrangement_
- Maintains survival and medical records for all offshore personnel and arranges for personnel to attend renewal courses or medical when necessary.
- Arranges for offshore personnel to attend induction courses and maintains records of courses and schedules renewals as necessary.
- Establishes records for the new start Survey Specialists and ensures all certification of documentation is in place to enable them to travel to client sites.
- Responsible for ordering PPE from suppliers that is to a required standard and to the best financial arrangement for the company. Orders PPE for Survey Specialists and maintains record of issue.
- Track all passports and visa renewals.
- Distributes and controls documentation originating from the Operations Department e.g. memos, etc.
- Checks invoices to the operations department, deal with any queries and processes invoices in accordance with internal procedures. Includes invoices from travel agencies, health providers and taxi providers.
- Raises purchase orders using spendmap and acknowledge receipt upon goods/service delivery.
- Contributes to company QA by ensuring all output is to company policies or procedures.
- Administers and tracks all holidays for staff
The above list of duties are not intended to be exhaustive but details the major tasks of the post. The postholder will be required to undertake such other duties which might reasonably be expected and which form part of the function of the post.
HSE FUNCTION
- Cooperate with management in promoting, developing and maintaining a safe place of work and safe working practices and in meeting statutory health and safety requirements.
- Report any work methods, plant, equipment or conditions in their work area which they consider to be hazardous and submit suggestions to improve or remedy the situation.
- Report accidents / incidents (including near misses) which could have caused injury, damage or loss of production.
- Be aware of the hazards of their work e.g. Office machines fitted with guards e.g. Shredders, guillotines and correctly use any safety clothing / equipment provided and maintaining this clothing / equipment in a clean and serviceable condition and immediately report any faults.
- Take reasonable care of themselves and others who may be affected by their actions.
- HSE Training - Croners Health and Safety Training Resource (reviewed quarterly).
**PREFERRED QUALIFICATIONS**:
- Certificate in Office Administration
- Strong Microsoft Office skills including Excel, Word and PowerPoint
**QA FUNCTION**:
- Quality Assurance Training - Introduction to BS EN ISO 9001 manual.
