Senior Administrative Assistant

**Position Summary**
Facilitate and manage the day-to-day operations of the dean’s office. Develops and manages projects to help achieve the mission and goals of the department. Serve as a primary point of contact for internal and external stakeholders and manage the planning of meetings and events.
**Major Accountabilities**
**Administrative Affairs**
- Oversee and manage the day-to-day activities of the office; develop policies, procedures, and systems to ensure productive and efficient office operation.
- Provide and/or oversee support activities such as answering phones, maintaining calendars, making travel arrangements, writing and preparing documentation and correspondence for the office, reviewing and controlling incoming and outgoing correspondence, and following up on operational commitments.
- Organize and facilitate meetings and special events; schedule and coordinate dates and times, venues, attendance, agendas, and facilities; take minutes and provide administrative support and follow-up on matters arising from meetings.
- Research information, compile statistics, and gather and compute various data; prepare special and/or one-time reports, summaries, or replies to inquiries; select relevant data from a variety of sources.
- Develop and manage projects to ensure efficient service and to achieve the mission and goals of the department.
- Serve as a primary point of contact between the office and internal/external entities; provide information and perform problem-solving on a range of issues.
- Establish, update, and maintain office files, inventories, and records; implement and maintain data management systems as required.
- Support the development of the Executive Director’s reports and presentations.
- Edit communications from the Executive Director, including documents prepared for the Executive Director’s signature, and various other correspondence and reports.

- Adhere to all relevant departmental policies, processes, standard operating procedures, and instructions to ensure that work is carried out in a controlled and consistent manner.
**Related Assignments**
- Undertake other duties as directed, which may include supporting other areas of administration across the KSPP department.
**Qualifications and Experience**
**Recommended Qualifications and Years of Experience**
- Bachelor’s degree in Business Administration, Office Administration, or a related field with 0-4 years of relevant experience, or
- Diploma in Executive Secretary, Office Administration, or a related field with 4-8 years of experience.
- Prior secretarial work experience is preferred.
