Role Overview The Office of the CEO serves as the control center of Infinite pl, coordinating strategy, operations, investor relations, and execution across the group. This role blends two essential dimensions: Executive Assistance — ensuring seamless day-to-day management of the CEO's time, meetings, travel, and communication Strategic Coordination — driving alignment, follow-up, and delivery across high-priority projects and board commitments.
The selected individual will operate as the CEO's right hand, maintaining clarity, discipline, and flow across everything that reaches or leaves the CEO's desk. They must combine administrative excellence with strategic intelligence, moving effortlessly from managing logistics to drafting notes or following up with board members.
Responsibilities: 1. Executive & Administrative Management
• Manage the CEO's calendar, schedule, travel, meetings, and personal appointments with meticulous organization.
• Filter and prioritize incoming communication — ensuring only critical matters reach the CEO while all others are handled proactively.
• Coordinate logistics for all internal and external meetings, including documentation, briefings, and action follow-ups.
• Handle confidential correspondence, expenses, and executive administration with discretion and accuracy.
• Prepare meeting notes, summaries, and next-step trackers following CEO engagements.
2. Strategic Project & Investor Coordination
• Track the progress of CEO-led initiatives
• Prepare briefings, slides, and documentation for meetings, presentations, and stakeholder updates.
• Serve as the focal point between the CEO and internal functions (Finance, Legal, Ventures)
• Ensure follow-through on all decisions made by the CEO or board — creating accountability and visible progress.
• Coordinate sensitive materials such as Information Memoranda, Q&A documents, and shareholder correspondence.
3. Executive Communication & Interface
• Draft and proofread emails, letters, executive notes, and official correspondence with clarity and tone alignment.
• Liaise with senior executives, investors, government partners, and advisors to schedule discussions or obtain updates.
• Maintain and update the CEO's internal communication channels — ensuring clarity of direction and timely responses.
• Support internal presentations and messaging related to board, audit, or investor engagements.
4. Operational Rhythm & Governance
• Manage the CEO's operational rhythm — weekly leadership meetings, board preparation, and performance dashboards.
• Coordinate with departments to consolidate progress reports and ensure alignment with Infinite pl's priorities. Experience:
- 8–12 years of experience in executive administration, office management, or project coordination — ideally supporting a CEO or Managing Director.
- Strong exposure to board-level communication, investor-facing material, or corporate documentation.
- Experience in a fast-paced environment — ideally within consulting, investment, or digital/technology sectors.
- Bilingual (English essential, Arabic preferred) with excellent writing and communication skills.
- Proficiency in Microsoft Office, Google Workspace, and modern productivity tools (Asana, Notion, or similar).
- Highly organized, anticipatory, and disciplined: always two steps ahead.
- Analytical and literate: can read a board document and summarize it for the CEO clearly.
- Composed under pressure: thrives in high-speed, high-stakes environments.
- Discreet and trustworthy: handles confidential matters with absolute integrity.
