HR & Admin. Assistant

Implement & Enhance HR & Admin policies to ensure employee satisfaction and administration of the organization’s assets
- Recruitment for budgeted positions by using creative means such as electronic media, data banks, recruitment companies, etc.
- Ensure the budgeted positions are filled as per the business plan
- Ensure required policies & procedures are in place to avoid decisions made on an individual’s discretion or case-to-case basis;
- Make sure that succession planning is in place and follow up to matured
- Take initiatives to improve employee satisfaction & collaboration by arranging team building exercises, get to gather, picnics, social events, competitions, an employee of the month & year
- To ensure the timely payment request submit to finance for Iqama renewals, sponsorship transfer cases, visas, and legal documents i.e. CR, Rental agreement, Chamber of Commerce, Saudi Post, Tamm, Ilam, Muqeem, or any other legal documents renewal.
- Identifies legal requirements and government reporting regulations affecting human resources functions and ensures compliance with policies, procedures, and reporting.
- Recruits, interviews, tests, and selects employees to fill vacant positions.
- Plans and conducts new employee orientation to foster a positive attitude toward company goals.
- Keeps records of benefits plan participation such as personnel transactions hiring, promotions, transfers, performance reviews, terminations, and employee statistics for government reporting.
- Completion and update of all employee files, records, and documents.
- Maintaining a record of all company legal documents i.e. CR, COC, Office Rent Contract, and other documents & certificates.
- Coordinates management in interviewing, hiring, terminations, promotions, performance review, safety, and customer complaints.
- Advises management in appropriate resolution of employee relations issues.
- Responds to inquiries regarding policies, procedures, and programs.
- Administers salary administration program to ensure compliance and equity within the organization.
- Process employee queries, request to management for approval, and further process.
- Conducts wage surveys within the labor market to determine competitive wage rates.
- Prepares budget for human resources operations.
- Prepares employee separation notices and related documentation, and conducts exit interviews to determine reasons behind separations.
- Prepares reports and recommends procedures to reduce absenteeism and turnover.
- Manage human resources comes under administration e.g., Drivers, Receptionists, and Tea Boys for their schedules, vacations, timings, grooming, attitude, and retention
- Ensure the official and formal dress code to express professional hospitality to our esteemed business partners.
- Ensure organizations assets such as Fixtures, Furniture, Electronic Equipment, Cars, etc. are intact and are in good working condition and if requires schedule on-time maintenance to avoid downtime;
- Make sure all utilities (electricity, internet, gas, water, etc.) are properly utilized and the bills are timely paid along with controlling the usage to avoid cost runs or misused;
- Ensure organization assets are properly monitored, assigned, and accounted for and should not be in any case misused or exploited
- Identify better means of recruitment through rental resources, ajeer, outsourcing, etc.;
- Monitor telephone usage & mobile billing and take corrective actions if required with staff or with the service provider;
- Any other tasks are given by management.
Ability to commute/relocate:
- Riyadh: Reliably commute or planning to relocate before starting work (required)
**Experience**:
- HR & Admin.: 2 years (preferred)
