About the Job

The Administrative Assistant position at Saudi International Travel Company offers an exciting opportunity to work in a fast-paced environment and contribute to the success of our team. As an Administrative Assistant, you will provide administrative support to ensure efficient office operations.

Key Responsibilities
  1. Administrative Support: Provides administrative support to ensure efficient office operations, including maintaining physical and digital filing systems.
  2. Communication: Answers phone calls, directs callers to relevant personnel, schedules appointments, and assists clients and other visitors.
  3. Documentation: Drafts, edits, and finalizes letters, reports, RFP responses, and other documents with a high level of accuracy and attention to detail.
  4. Data Management: Inputs and updates information in databases and spreadsheets, ensuring data integrity and accuracy.
  5. Meetings and Events: Prepares meeting agendas, takes meeting minutes, and coordinates logistics for meetings, including room setup and catering.
  6. Technical Skills: Operates and maintains office equipment, including printers, copiers, and fax machines, and utilizes word processing and presentation software to create and edit documents.
  7. Research and Reporting: Conducts research as requested and compiles and summarizes information for reports or presentations.
  8. Team Collaboration: Works closely with other administrative staff and supports colleagues as needed, ensuring effective teamwork and communication.
  9. Confidentiality and Compliance: Maintains confidentiality and security when handling sensitive information, adhering to privacy policies and regulations.
  10. Time Management: Prioritizes tasks, meets deadlines, and adapts to changing priorities, presenting a positive and professional image for the organization.
Requirements
  • Language Proficiency: Proficient in English & Arabic, reading, writing, and speaking.
  • Typing Speed: 30-35 WPM typing speed.
  • Education: Bachelor's Degree in Business Administration or equivalent.
  • Experience: Past administrative experience or tenure in an office setting is a plus.
  • Digital Literacy: Digital literacy and research skills, including the ability to analyze the reliability of information.
  • Software Proficiency: Familiarity with standard office platforms, such as Microsoft Office, and fluency in MS Excel.
  • Data Management: Data management and entry skills, including the ability to maintain and improve filing systems.
  • Record-Keeping: Accurate record-keeping and organizational skills.
  • Interpersonal Skills: Interpersonal skills, professional and courteous demeanor, excellent office and phone etiquette, and the ability to diffuse tense situations.
