Key Responsibilities:- Provide administrative support for compliance and project management duties, ensuring seamless coordination and accuracy of project documentation.
- Maintain data quality and facilitate IMS system updates, ensuring timely and accurate reporting.
- Coordinate project activities, ensuring effective communication and collaboration with internal and external stakeholders.
- Handle communications, scheduling, reporting, and other compliance-related tasks, maintaining a high level of professionalism and attention to detail.
- Assist in managing the Integrated Management System (IMS), ensuring compliance with business requirements and relevant standards.
- Establish, implement, and maintain the IMS, identifying and developing improvements to the business through the IMS.
- Support the Monitoring and Compliance team in achieving excellent SHEQ standards, ensuring a culture of compliance and continuous improvement.
- Prepare risk-based assessments and management plans, responding to orders issued by regulatory departments and managing external audits.
- Arrange monitoring, testing, and evaluations by external agencies/consultants, ensuring compliance with regulatory requirements.
- Schedule regular meetings and record decisions, maintaining project documentation, including plans, status reports, risk logs, and issue logs.
- Represent the business core values and process Compliance audits, communicating and liaising with stakeholders, clients, supply chain contacts, and operational team members.
- Assist in implementing IMS standards internally and on RWM projects, supporting document control and improvement requests within the IMS.
- Identify project risks and issues, maintaining and tracking a risk and issue log, providing administrative support for risk and issue management activities.
- Create and issue reports to operational teams, supporting Compliance & Risk Communications and training content development.
- Complete internal quality audits for ISO 9001, ISO 14001 & OHSAS 18001 compliance, ensuring ongoing compliance with the Quality Management System ISO 9001.
- Good knowledge of Integrated Management Systems and Standards, QHSE Procedures for Operational Environments, IMS System Auditing, HSE legislation and requirements, and Waste Management processes.
- Excellent written, verbal, and presentation skills, analytical and administrative skills, organizational and follow-up skills, problem-solving, team-building, and planning skills.
- Energetic and self-motivated with the ability to work to deadlines and manage priorities, ability to work autonomously and collaboratively within a team, calm under pressure with strong personal resilience.
- Excellent English language skills (verbal and written) and strong communication abilities for both small and large groups.
- Minimum of 7 to 10 years' experience in a business/project/HSE administration role within an organization with certified QMS/IMS systems.
- Track record of IMS system document and record management, experience dealing with internal and external stakeholders, including clients, contractors, department heads, and regulatory bodies.
- Experience with technical documentation, flowcharts, and schedules, prior experience as a Project Coordinator, Project Administrator, or a similar role.
- Previous experience in a Safety, Health, and Environmental capacity within the Construction Industry.
