Job Description

Role Summary

The Conference Producer will be responsible for producing high-level industry-relevant conference programs, liaising with key professionals and institutions, and engaging with recommended speakers to confirm their attendance. The successful candidate will have a strong understanding of the industry and be able to communicate effectively with experts and stakeholders.

Key Responsibilities

  • Conference Production
    • Develop and implement conference programs that meet the needs of industry professionals and stakeholders.
    • Liaise with key professionals and institutions to gather information and insights for conference programming.
    • Engage with recommended speakers and confirm their attendance, ensuring a diverse and high-quality speaker lineup.
    • Manage the speaker database, ensuring it is up-to-date and accurate.
    • Prepare and communicate creative brief documents to the marketing team.
    • Lead telesales briefs and set follow-up meetings to track progress.
    • Ensure all CME/CPD application forms and supporting documentation are completed online within deadlines.
    • Assist in the provision of leads to the sponsorship team and attend sales meetings as appropriate.
    • Mentor other conference producers within the team.
    • Conduct a post-show analysis of the event, including job title analysis.
  • Market Research and Industry Networks
    • Conduct research on industry topics and trends, gathering insights from key professionals and stakeholders.
    • Develop new conference ideas and program content through meetings and tele-research with industry experts.
    • Collaborate with the Director and other sales team members to generate ideas for enhancing the conference portfolio.
    • Identify key opinion leaders, institutions, and companies related to the event.
    • Maintain existing and build new relationships to develop a conference with topics and speakers.
    • Provide a list of hospitals that are leaders in specialist areas relating to the event.
    • Explore additional add-ons and ways to attract more delegates, such as workshops, poster sessions, and partnering with associations.
  • Speaker & Delegate Liaison
    • Liaise and network with speakers, exhibitors, and delegates on-site, maintaining customer service standards and resolving queries.
    • Assist with onsite duties as required for the duration of the event, which may require longer working hours.

Qualifications

  • Educated to degree level or equivalent.

Background Knowledge, Skills & Experience

  • Minimum two years' experience in conference production.
  • Strong communication and interpersonal skills, with the ability to speak and write clearly and fluently in English.
  • Computer literate and proficient in the use of Microsoft Word and Excel.
  • Commercial awareness and research-based role.
  • Copywriting skills and brand and market awareness.

Additional Information

  • Core Benefits:

      • Additional Benefits where the Saudi National is relocating within KSA Only*:
        • Paid flight to Riyadh (for you and your dependents).
        • Relocation costs to cover a hotel room – up to 30 days (single / family room), & Excess baggage allowance of up to SAR 1500.
