**2. Job Purpose**

To provide a comprehensive framework of best practices in HR and Administration, IT and Facilities Management across Amiral to ensure Shared Services supports in the achievement of strategic business outcomes. Advise on all Shared Services matters in Amiral by implementing corporate policies, procedures and best practices so as to ensure that the business is properly supported and developed.

- Risk management in Shared Services
- Efficient Payroll

**4. Main Tasks & Accountabilities**
- Directs, manages and controls the overall direction and activities of Shared Services. Performs executive and management duties and exercises financial authority at the level established by the Board for the position.
- Acts as an internal consultant and change agent to ensure that organizational initiatives are understood and accepted.
- Pro-actively communicate with and report to the CEO, Board and the senior management team and staff both formally and informally on a regular and ad hoc basis.
- Initiate and manage strategic projects designed to enhance the effectiveness and efficiency of Amiral related to people, IT, Administration and Corporate Communications.
- Manage confidentially with a wide range of persons, both internally and externally.
- **Human Resources and Administration function**;
- Manage people risk, retention strategy and succession planning
- Maintain and develop reward and benefit programs that are cost effective, competitive and appropriate to Amiral
- Develop and maintain policies and procedures to ensure motivated and productive employees, in accordance with Amiral developments and best practices with the objective of managing staff motivation and turnover.
- Propose, and oversee HR budgets in accordance with internal procedures, ensuring best value and quality.
- Establish, develop and manage manpower planning and career planning frameworks that meet individual and business objectives
- Recruit top talent for key managerial/leadership positions for the region.
- Manage and operate the payroll compilation and administration
- Keep abreast with market practices to ensure Amiral is current, relevant and in line with market developments.
- Ensure training, track required completion rates and ensure performance objectives are in place.
- Operates a consultative approach to provide HR advice, support and training across the Company in all aspects of HR including employment law, company policy and best practices.
- Provides real time manpower reports
- Facilitates Internal and External Employee Relations functions
- Oversee the internal and external communications
- Oversees the public relation activities of the company
- Maintain good relationships with stakeholders
- Provides support for advertising, exhibitions and conferences
- Oversees online initiatives and corporate social responsibility programs
Undertakes the planning, supervision and participation in corporate events
- Coordinate all media activities for Amiral.
- Ensure the administration framework is efficient and operational
- Oversee the fulfilment of government requirements.
- Ensure all administration policies and procedures are relevant and current.
- Ensures the procurement of non-core items is maintained efficiently at all times.

- **IT Function**
- Oversee IT projects to ensure effective implementation
- Oversee the IT budgeting
- Ensure IT systems are fit for purpose, maintained appropriately in line with legal and best practice requirements and able to produce management information.
- Ensure the functionality of the in-house IT systems.
- Propose and implement IT changes to support the strategic growth of Amiral.
- Establish and maintain IT performance policies and procedures that ensure delivery of the IT services in Amiral.
- Ensure the security of all company digital information
- **Facilities Management**
- Oversees the Management of the facilities of Amiral
- Provides an effective Engineering and Maintenance service
- Focuses on routine, preventative maintenance and breakdown resolution
- Operates an efficient real estate service to maximise the value realisation of Amiral’s real estate holdings.
