**Job Summary**

As an executive sectary, you will support our CEO to assist him in managing his calendar, scheduling meetings, organizing and coordinating business trips & market visits as well as supporting with personal administration.

**Responsibilities**
- Manage the diary of the CEO, including scheduling appointments, travel arrangements, and accommodation as necessary.
- Regularly monitor the daily schedule of the CEO and provide in advance the required information/documentation for meetings/appointments by coordinating with sources within the company and externally. Alert the CEO of any last-minute reschedules or cancellations.
- Ensures that there is a continuity of administrative support to the CEO's direct reports.
- Coordinates and/or assists with establishing or recommending budget allocations for the office of the Director/Executive and reviews revised and final budgets.
- Oversees the planning and coordination of key special events for the CEO.
- Receive and screen incoming call and mail, action responses or re-direct as necessary to the appropriate individuals to obtain additional information prior to presenting to the CEO.
- Manage and maintain a proper paper based or electronic filing system that is easily accessible by the CEO or the team.
- Where necessary manage petty cash accounts by verifying authenticity of claims ensuring figures are accurately recorded. Control and handle cash transactions to bring accounts to balance.
- Undertake and support the manager/s or the team in a variety of special projects involving internal and external parties including researching activities involved with the project.
- Responsibility for the acquisition, maintenance and replacement of office assets and equipment. Be the central point for ordering and restocking stationery and regular kitchen items ensuring the dept. / section is within budget.
- Prepare files, reports, correspondence and other relevant business documentation.
- Ensure all documentation is filed in a systematic manner.
- Exercise confidentiality, discretion and personal sensitivity in all aspects of the role.
- Demonstrate essential overall knowledge of the organization.
- Understand the responsibilities of other units and departments and co-operate with them.
- Create and modify documents using Microsoft Office, Excel and Power point.
- Keep records of all contracts.
- Assist with various administrative tasks and projects when needed.
- Maintain a high standard of personal appearance and hygiene as per the company grooming standards at all times.
- Maintain a good rapport and working relationship with colleagues in the department and all other departments.
- Comply with Qoyod policies and procedures in all aspects of the role
- Build network of strong working relationships both internally and externally Act as a key resource and liaison to other functional areas of the business, building cross-functional relationships as needed
- Perform all other business / personally related duties as the CEO requires.

**Qualifications and Skills**
- 3+ years experience in an administrative role.
- Bachelor's degree in business administration.
- Saudi National
- Proficiency in spoken and written English, Arabic is an advantage.
- Experience with a professional services firm preferred.
- Demonstrate strong organizational skills, regularly act on own initiative, highlighting issues and suggesting possible solutions.
- Very good spoken and written communication skills.
- Very Good listening skills and ability to take instructions and direction from Partners and Directors who are based in a different locations and to work independently with mínimal guidance.
- Exercise confidentiality, discretion and personal sensitivity in all aspects of the role at all times.
- Must possess a professional telephone manner.
- Demonstrated ability to work under pressure, on a virtual basis and with an often traveling partner/executive.
- Demonstrated team player and dedication to provide high level of service.
- Must possess a warm, friendly and professional demeanor.
- Knowledge of administrative systems and processes.
- Proficiency in Google including G suite and Microsoft Office.
