Administrative Support Specialist

SITC | الدولية is looking for a highly skilled and organized Administrative Support Specialist to join our team. This is an exciting opportunity to work in a dynamic and fast-paced environment.
Key Responsibilities:- Provide proactive administrative support to ensure efficient office operations.
- Maintain accurate and up-to-date filing systems both physically and digitally.
- Effectively handle phone calls, direct callers to relevant personnel, and schedule appointments.
- Communicate professionally via email and respond to digital queries promptly.
- Manage calendars efficiently to minimize conflicts.
- Draft, edit, and finalize documents, reports, and responses with attention to detail.
- Follow up with departments for reports and records.
- Input and update information in databases and spreadsheets accurately.
- Prepare meeting agendas and take minutes with precision.
- Coordinate logistics for meetings, including room setup and catering.
- Utilize word processing and presentation software to create and edit documents efficiently.
- Operate and maintain office equipment, including printers, copiers, and fax machines.
- Research as requested and compile summarized information for reports or presentations.
- Collaborate closely with other administrative staff and support colleagues as needed.
The ideal candidate will have a Bachelor's Degree in Business Administration or equivalent and possess excellent organizational and time management skills. Proficiency in English & Arabic (reading, writing, and speaking) is required. Previous administrative experience is preferred but not mandatory. Key qualifications include:
- Proficient typing speed of 30-35 WPM.
- Digital literacy and research skills, including analyzing information reliability.
- Familiarity with standard office platforms, such as Microsoft Office.
- Fluency in MS Excel.
- Data management and entry skills, including maintaining filing systems.
- Accurate record-keeping and organizational abilities.
- Excellent written communication skills.
- Time management, multitasking, and flexibility.
- Interpersonal skills, professional demeanor, and effective office etiquette.
