The Role

We're seeking an experienced Administrative Director to oversee the physical workspace within our Riyadh offices. The successful candidate will ensure day-to-day operations run smoothly, employees have the necessary resources, and the offices function effectively to create productive and efficient workplaces.

Main Responsibilities

  • Stationery and IT equipment - monitoring, ordering, and custody.
  • Office cleaning and related supplies - monitoring, discussing issues with vendors.
  • Planned preventative and ad hoc maintenance - arranging and coordinating, answering queries, liaising with building management or external parties.
  • Real Estate team assistance - providing support as needed.
  • Office technology maintenance - monitoring, upkeep of computers, printers, and other equipment.
  • IT liaison - resolving technical issues, coordinating quarterly visits.

Additional Duties

  • Health and Safety - maintaining a safe and healthy work environment, ensuring compliance with regulations, implementing procedures.
  • First aid and fire warden regulations - ensuring compliance, ongoing training.

Financial Management

  • Vendor invoice processing - timely payment.
  • Invoice and payment queries - dealing with queries.
  • Contract negotiation - negotiating services necessary for office operations.
  • Service level agreements - monitoring, holding vendors accountable.
  • Hotel contract negotiation - preferential room rates.
  • Office budget control - controlling spend, including fit-out projects.

HR Support

  • New joiners list - monitoring.
  • Onboarding - supporting new joiners.
  • Security pass issuance - managing passes for new joiners, team members, contractors.
  • IT coordination - ensuring laptop, phone, and equipment delivery.

Leadership and Communication

  • Junior team management - supporting the smooth office operation.
  • Fit-out project management - vendor management, internal communications.
  • Room and desk reservation coordination.
  • General office notifications - sending notifications to staff.
  • Team queries - dealing with general queries.
  • Visitor arrangements - arranging desks, booking meeting rooms.
  • Intranet site updates - updating site for Riyadh office information.
  • Best practice sharing - working with regional office managers.
  • Team socials - organizing social events.
  • Microsoft Office Suite proficiency - Word, Excel, PowerPoint, Outlook.
