Purpose of the role:

The School Services Coordinator plays a pivotal part in overseeing and coordinating School Services, ensuring seamless day-to-day operations. This position involves assisting in supervising cafeteria operations, supporting front desk functions, coordinating house inspections, and addressing follow-up actions as needed. The ideal candidate will be highly organized, proactive, and capable of working collaboratively with different departments, staff, and external parties.

Key Responsibilities:

Cafeteria Operations
  1. Monitor and record stock levels of tableware and cafeteria essentials.
  2. Facilitate effective communication between School Services and Staff working in the cafeteria.
Front Desk Support
  1. Assist at the front desk in the absence of the receptionist to maintain school communication and visitor assistance.
Staff Housing Management
  1. Assist in maintaining accurate records of school-provided housing allocations.
  2. Assist in allocated staff house inspections and follow up on necessary actions.
  3. Be proactive in identifying maintenance issues and raise tickets for required repairs.
  4. Update pet registers as needed.
Staff Housing Logistics
  1. Communicate pest control schedules and preventive maintenance measures with school residents.
  2. Assist in house inspections, organization of house moves, and communication with the facilities team.
Sustainability & Environmental Initiatives
  1. Evaluate and ensure compliance with school recycling efforts.
  2. Support student council, sustainability teams, and Eco Leaders in implementing new initiatives, including coordinating resources, manpower, and purchase orders.
Uniform Shop
  1. Provide support during peak periods as needed.
Miscellaneous Duties
  1. Perform other tasks related to the School Services Department as assigned by the School Services Manager.

Requirements:

  1. Proficiency in Microsoft Office and Google Suite.
  2. Fluency in English, with good understanding of Arabic an advantage.
  3. Familiarity with the local community and cultural sensitivity.

Preferred skills:

  1. Strong organizational skills with attention to detail, ability to prioritize and multi-task.
  2. Effective communication & interpersonal skills.
  3. Problem-solving mindset to address logistical and operational challenges.
  4. Knowledge or interest in sustainability and environmental initiatives an advantage.
  5. Proficiency in basic administrative and coordination tasks.
  6. Discretion and confidentiality when handling sensitive information.
  7. Flexibility and availability to work during busy periods, weekends, and after-hours as needed.

Experience:

Proven experience in an Administrative or Coordinating role in an International School or Hospitality an advantage.

Safeguarding:

  1. All background checks must be completed prior to employment or updated as necessary during employment.
  2. BISJ's mandatory Safeguarding training must remain current and up-to-date for all staff members throughout their tenure.
  3. It is essential to consistently adhere to BISJ's Safeguarding and Child Protection Policy, ensuring that any concerns are promptly reported to the Designated Safeguarding Officer(s) (DSO).
