School Services Coordinator

Purpose of the job:
The School Services Coordinator plays a key role in overseeing and coordinating School Services of the school, ensuring smooth and efficient day-to-day running of the operations. This role involves assisting in supervising cafeteria operations, supporting front desk functions, coordinating house inspections and assisting in follow-up actions where needed. Assist in developing the sustainability initiatives, in uniform shop operation at peak times and with other school services. The ideal candidate will be highly organized, proactive, and capable of working collaboratively with different departments, staff, and external parties.
KEY RESPONSIBILITIES:
Cafeteria Operations- Keep records of stock levels of tableware and cafeteria essentials.
- Assist in effective communication between School Services and Staff working in the cafeteria.
- Assist at the front desk in the absence of the receptionist to maintain school communication and visitor assistance.
- Assist in keeping records of school provided housing allocations.
- Assist in allocated staff house inspections and follow up on possible actions needed.
- Be proactive in identifying maintenance issues and raise tickets for the necessary repairs.
- Update pet registers if and when needed.
- Communicate pest control schedules and preventive maintenance measures with school residents.
- Assist in house inspections, organisation of house moves, and communicating with the facilities team.
- Ensure school recycling efforts are followed through.
- When student council, sustainability teams, and Eco Leaders have approval for new initiatives assist in realising the task ahead, i.e. coordinating resources, manpower, purchase orders.
- At peak times assist where needed.
- Carry out other tasks related to the School Services Department as assigned by the School Services Manager.
Knowledge:
- Proficiency in Microsoft Office and Google Suite.
- Fluent in English, and good understanding of Arabic is an advantage.
- Familiarity with the local community and cultural sensitivity.
Preferred skills:
- Strong organizational skills with attention to detail, ability to prioritize and multi-task.
- Effective communication & interpersonal skills.
- Problem-solving mindset to address logistical and operational challenges.
- Knowledge or interest in sustainability and environmental initiatives is an advantage.
- Proficiency in basic administrative and coordination tasks.
- Discretion and confidentiality when handling sensitive information.
- Flexibility and availability to work during busy periods, weekends, and after-hours as needed.
Experience:
Proven experience in an Administrative or Coordinating role in an International School or Hospitality is an advantage.
Safeguarding:
- All background checks must be completed prior to the start of employment or updated as necessary during employment.
- BISJ's mandatory Safeguarding training must remain current and up to date for all staff members throughout their time in the position.
- It is essential to consistently adhere to BISJ's Safeguarding and Child Protection Policy, ensuring that any concerns are promptly reported to the Designated Safeguarding Officer(s) (DSO).
