Job Summary:

SHIFT inc. is seeking a highly skilled and experienced Workshop Operations Manager to oversee the day-to-day activities of our workshop department. As a key member of our team, you will be responsible for ensuring all Key Performance Indicators (KPIs) are met and exceeded.

Key Responsibilities:

  • Operational Excellence: Develop and maintain strong relationships with customers, manufacturers, and internal teams to support service and workshop operations.
  • Team Leadership: Lead, mentor, and develop a team of service professionals, fostering a culture of continuous improvement and excellence.
  • Performance Analysis: Analyze service performance data and trends to identify opportunities for growth and efficiency improvements.
  • Industry Knowledge: Stay current with the latest developments in Automotive technology and workshop best practices.
  • Customer Focus: Accurately identify customer/fleet repair and maintenance requirements.
  • Quality Assurance: Maintain an up-to-date knowledge of new or updated service or parts and ensure service bulletins, safety recalls in coordination with dealer.
  • Seasonal Requirements: Remain aware of seasonal requirements or emerging issues or routine services needed in the event of an Aramco fleet recall or special offer into fleet repair and maintenance.
  • Professional Development: Attend training courses to develop job-related knowledge.
  • Inventory Control: Liaise with Parts Supervisor/Workshop Manager/Head of Workshops (HO) to monitor lost sales of low-moving items for inventory control.
  • Time Management: Manage one's own time and the time of others.

Objectives:

  • Workshop Operation: Maintain Workshop Operation Job card and their records to track maintenance history.
  • Quality of Repairs: Ensure all fleet repair and maintenance is performed within KPI and quality of repairs.
  • Repair and Maintenance: Ensure all repairs and maintenance are done Fix at The Right First-Time concept.
  • Job Card Management: Ensure all incoming vehicles are captured in workshop maintenance system job card on time opening and closing and archiving job card file in the correct locations.
  • Authorization: Ensure that 3rd party credit vehicle authorized email approval is obtained for all repair and maintenance activities.
  • Problem-Solving: Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Cost-Effectiveness: Monitor accidental repair and estimation to be cost-effective.
  • Service Area: Ensure that the service area is well-organized and clean.
  • Safety Standards: Ensure safety standards are met as per company guideline/process.
  • Vehicle Availability: Ensure the availability of vehicles as required by the operations department to meet operational commitments.
  • Staff Training: Train and educate the staff and skilled workers.
  • Business Planning: New planning in terms of new workshop layout, tools and equipment, manpower for business setup and proposal.
  • Credit Facility: Increase credit service and spare parts suppliers and submit their performance evaluation quarterly.
  • Repair Quality: Arrange and monitor credit facility with service supplier and validate their invoices.
  • Third-Party Repairs: Monitor and evaluate 3rd party repairs, their performance, and improve the quality of repair/performance.
  • Documentation: Ensure all paperwork, documentation, and repair requisitions are completed accurately.
  • Cash Handling: Ensure all credit sales transactions are to an authorized signatory or approved account, and cash and cheque payments are received and stored securely.
  • Special Orders: Follow up special orders as necessary, balancing the needs of economy and speed of delivery according to parts/workshop manager guidelines.
  • Parts Sourcing: Source the availability of additional parts from outside the retailer.

Customer Focus:

  • Satisfy Customer Requirements: Satisfy customer requirements by identifying repair and maintenance accurately.
  • Customer Support: Answer customer queries regarding technical issues in a manner that is easily understood.
  • Relationship Building: Approach every situation with a desire to understand and deliver.
  • Effective Communication: Listen effectively and communicate clearly.
  • Relationship Management: Use contact with the customer to build a relationship.
  • Accountability: Take responsibility to ensure nothing is left to chance.

Operational Focus:

  • Operating Fleet Ratio: Maintain Operating Fleet Ratio.
  • Technical Issues: Handle incoming technical issues and possible solutions.
  • Customer Service: Provide a service to the customer.
  • Customer History: Follow up on customer emerging issues and track history record.
  • Client KPIs: Deal with client set KPI and complaints.
  • Technology Utilization: Use technology effectively.
  • Performance Management: Manage own performance.
  • Teamwork: Contribute to effective working.
  • Process Improvement: Contribute to improved workshop processes.
  • Business Focus: Business Focus.
