Job Summary

The Fleet Coordinator / Technical Clerk will be responsible for managing and coordinating the daily operations of our company's fleet, ensuring efficiency, compliance, and safety standards are met. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for optimizing fleet performance.

Key Responsibilities
  • Fleet Management: Ensure that all fleet vehicles are submitted for MVPI and renewed, Istmara are renewed, and a lost replacement is issued in a timely manner to avoid violations.
  • Operating Card Management: Issue all necessary operating cards for the company's fleet to prevent violations from the Transportation Authority and renewing them periodically.
  • TAMM Authorization: Ensure the issuance of a 'TAMM' authorization for all users of the company's vehicles (whether owned or leased) and manage the company's account in the 'Tamm' program and the transport authority's website, following up on all developments regarding operating controls or recorded violations, and communicating with them in the absence of data on the vehicle's plate.
  • Accident Resolution: Send company representatives to attend all traffic enquires, police stations, and other accidents to ensure timely resolution of issues.
  • Insurance Management: Ensure that there is valid insurance for all the company's vehicles and add / delete the new and sold from insurance policy and assets books, with the concerned departments.
  • Claims Processing: Follow-up to end the submission of claims to the Insurance Department and ensure that the Authorization for Repair / Compensation and Vehicle Repair is issued without delay in the approved insurance workshops.
  • Fleet Database Management: Conduct periodic updating of the company's fleet database and deleting / adding everything that is bought and sold and deleting it from the 'Tamm' program to prevent post-sale violations.
  • Violation Management: Collect all amounts of violations registered for any vehicle from the company's fleet from the user and making sure that the violations (traffic and transport authority) are paid periodically.
  • Gov Fines Management: Identify Gov Fines (TAMM+MOT) on the company's employees for all leased vehicles (due to the expiration of the insurance or MVPI) and do deduction from the supplier's invoices.
  • Telematics Management: Follow up the performance of Telematics devices on the company's vehicles and manage installation / deletion of what is necessary and ensure that they meet the requirements of the Transport Authority and the Food and Drug Authority.
Requirements
  • Education: Bachelor's degree in Business Administration, Logistics, or a related field preferred.
  • Experience: Minimum of 2-5 years of experience in logistics, fleet management or a related field.
  • Skills and Attributes: Excellent communication and interpersonal skills, strong knowledge of fleet management software and systems, detail-oriented with a focus on accuracy and attention to detail in data analysis and reporting, good analytical skills with proficiency in MS Excel, ability to work independently and collaboratively in a fast-paced, dynamic environment, with a proactive and solution-oriented approach, strategic thinking and problem-solving abilities, with a demonstrated track record of driving results and achieving business objectives.
