**Requirements**:
- Bachelor's degree from a reputable university.
- **3+ years of proven experience as an Executive Assistant / Officer Manager in a law firm.**:
- **Must be currently residing in KSA.**:
- Fluent in Arabic and English.
- Experience in government relations is a plus.
**I. Executive Assistant Responsibilities**
- Proofread and amend documents as per lawyer’s requirements. Incorporate client comments as indicated by lawyer.
- Blackline (comparison) of documents.
- Cross referencing checks; know how to insert, check and update.
- Draft engagement letters (based on templates) and incorporating fee pitch/assumptions & scope of work.
- Initiate new matter conflict checks, follow up on conflict results, completing client/matter opening form, providing billing information, updating finance and chasing finance on matter number allocation, updating timesheets.
- Gather client KYC documents and information, follow up with compliance for clearance, obtaining ethics approval.
- Review draft invoices and edit narratives according to house rules before invoices are presented the partner for approval.
- Learn about the life cycle of a transaction, case or deal.
- Track invoices sent out and track invoice payments; liaising with finance department on outstanding payments.
- Call the respective governmental departments to query for information as needed (ie MOC, SAGIA etc.).
- Create documents from template form. Spot check for updated logo, footer, document number and date checks.
- Travel arrangements.
- Book meetings /lunches etc.
- Organize and manage diary.
- Coordinate with clients externally.
- Coordinate within team and other departments of the firm.
- Timesheets - Amending timesheet narratives & closing time.
- Process expense claims.
- Process WIP Lists and completing the monthly billing process.
- Answer client calls and queries in a professional manner.
**II. Office Manager Responsibilities**
- Supports team manager and performs management duties
- Manages inventories and stock, including keeping detailed records of inventory and advising management on ordering where necessary; this includes business stationary, branded stationary and office supplies
- Provides encouragement to team members, including communicating team goals and identifying areas for new training or skill checks
- Answers team member questions, helps with team member problems, and oversees team member work for quality and guideline compliance
- Conducts team meetings to update members on best practices and continuing expectations
- Ensures company brand materials and physical working spaces meet and exceed company presentation standards
- Maintains the cleanliness of the office and workspaces
- Supervises the office boys, drivers and PROs and keeps track of their whereabouts and implements work schedules
- Ensures that all corporate document are filed and maintained in an orderly fashion in filing cabinets (ie. original POAs, AoAs etc).
- Creates and maintains a centralized database for original documents and updates respective partner
- Updates, maintains and inputs data in a centralized docketing system for original documents, deadlines on renewals and flags urgency
- Arranges weekly meeting with relevant Partner and creates and updates agenda accordingly
