Job Description:

The Office Administrator will be responsible for ensuring efficient office operations by managing administrative tasks, coordinating office activities, and supporting various teams. The ideal candidate is organized, detail-oriented, and proactive in handling office processes, vendor relationships, and employee requests.

Responsibilities:

  1. Office Management:
  • Oversee the daily operations of the office, ensuring a well-maintained and organized workspace.
  • Maintain office supplies, inventory, and procurement of necessary equipment.
  • Liaise with vendors, service providers, and building management for maintenance and office-related needs.
  • Ensure adherence to office policies and procedures, updating them as necessary.
  • Manage office security, access controls, and safety protocols.
HR Support:
  • Assist in onboarding new employees, ensuring a seamless integration into the company.
  • Maintain and update employee records, attendance logs, and leave requests.
  • Organize company events, meetings, and team-building activities.
  • Address employee inquiries related to office facilities, resources, and administrative matters.
Financial Support:
  • Assist with processing invoices, expense reports, and petty cash management.
  • Support finance and HR teams in payroll coordination and compliance requirements.
  • Ensure proper documentation of company policies, agreements, and official correspondence.
Communication:
  • Act as the primary point of contact for office-related inquiries.
  • Coordinate with different departments to facilitate smooth internal operations.
  • Manage incoming and outgoing correspondence, including emails, calls, and deliveries.
  • Schedule and organize meetings, taking minutes when required.
