The Administrative Assistant will support and perform day-to-day administrative tasks and ensure our administrative activities run smoothly on a daily and long-term basis. The Admin Assistant should be committed to providing efficient, reliable support to other departments, and external parties; be trustworthy, thorough, and courteous with excellent time management skills. The position will also support various other departments within different duties and aspects.

**Responsibility**:
General Administrative Support:

- Maintain and update our company certificates in client’s portals.
- Uploading and managing invoices with Etimad portal and any other customers portal.
- Assist with handling company’s deliveries and shipments.
- Coordinate and handle deliveries to and from customers, including collection and delivery of documents like invoices, bank guarantees, tenders & proposals.
- Invoices collection and following up with all parties daily regarding overdue invoices.
- Share the weekly reports covering the invoicing status and the daily visits.
- Coordinate signing of documents within the office and with clients.
- Assist with and organize office day to day supplies.
- Assist in organizing and coordinating company events or meetings.
- Perform administrative and other tasks as needed.

Government Agency Coordination:

- Maintain accurate records of interactions and follow up on any outstanding matters.
- You will require to travel a lot outside office (locally within the Kingdom) for submitting and collecting various documents at different government agencies.

**Qualifications**
- High school diploma or equivalent; additional certifications or training in office administration.
- Own car with a valid driving license in KSA is a MUST.
- Proven experience as an Administrative Assistant or similar role.
- Excellent communication skills (Both in English and Arabic)
- Proficiency in Microsoft Office Suite, especially Excel (knowledge of advanced functions, formulas, and data analysis and experience with Outlook/MS Teams will be an added advantage).
- Strong attention to detail and excellent organizational skills.
- Ability to handle sensitive and confidential information with integrity.
- Basic knowledge of IT systems and troubleshooting.
- Excellent communication skills, both written and verbal.
- Strong problem-solving and multitasking abilities.
- Ensure confidentiality and security of sensitive information during data entry and storage.
- Adaptability and willingness to learn new skills as required.
