Facilities Coordinator

The opportunity
The facilities coordinator will undertake a range of facilities management duties.
Your responsibilities will include:
- Liaising with the customer service of clients’ staff for resolution of issues.
- Assisting in collation and upkeep of the building fire manual.
- Assisting in the drafting and upkeep of the FM manual.
- Assisting in drafting policies and procedural guidelines for all FM activities.
- Assisting in the management of clients’ HSE concerns.
- Ensuring the site risk register is kept up to date and any changes are immediately notified.
- Assisting in any billing processes for the building.
- Formulating and maintaining a site, COSHH register.
- Liaising with clients’ security for times of “lockdown”.
- Liaising with clients’ management with regard to cleaning and security issues.
- Liaising with clients’ fit-out team for ongoing requirements.
- Assisting in preparation of monthly FM report.
- Being vigilant for operational upsets and dealing with them in an expeditious manner to minimise disruption or shut down of the facility.
- Assisting in the identification to eliminate operational and financial risks.
- Assisting in developing and communicating work procedures to ensure it remains sustainable and regularly reviewed to meet changing business needs.
- Implementing scope of services and performance standards required to support client’s business needs to meet service level agreements.
- Participating in continuous improvement programs, best practice development, benchmarking exercises and facility management activities.
- Ensuring at all times that they carry out their work safely and with due regard for others in accordance with HS&E procedures and instructions, contractual, legislative and local requirements.
- Reporting immediately any non-conformance, unsafe act, or unsafe condition to line management for investigation and corrective action.
- Reporting immediately to line management if they sustain an injury or become ill whilst at work, or where they are directly involved in or witness any serious incident, dangerous occurrence, or significant environmental pollution incident.
- Notifying line management of any identified or suggested opportunity for improvement of the HSEMS and associated health, safety and environmental risk controls.
- Providing full coordination on site and being the point of contact for all site-related activities.
- Reviewing and preparing technical reports and carrying out site inspections.
- Driving efficiency and exploring areas of optimisation. In cases of help must perform admin tasks accordingly.
About you
You must have completed recognised education and preferably with higher education. You will have FM knowledge and should have coordinator role experience. You will have oil and gas experience will be beneficial. You will have experience working in a multicultural environment. You will have a working knowledge of health and safety. You have experience with ISO 9001 procedures or internal auditing.
You are digitally savvy and have good knowledge of MS Office software. You will provide support to strong motivated teams. You will have a facilities management background and be hungry to grow your career and enjoy the opportunities Mace has to offer.
